Position Overview

As a Resort Coordinator at Hilton Grand Vacations, you will play a pivotal role in ensuring the smooth operation of our resort by executing various essential tasks to the highest standards. Your responsibilities will include:

  • Invoice Management: Process weekly invoices efficiently.
  • Vendor Contract Administration: Gather necessary documentation to finalize vendor contracts in our systems, including those related to annual reserve projects.
  • Incident Reporting: Collect and accurately document incidents occurring at the resort, ensuring timely data entry into our tracking system while keeping management informed.
  • Communication: Handle incoming telephone calls professionally.
  • Meeting Coordination: Organize meetings for the General Manager, documenting and distributing minutes as needed.
  • Vendor Relations: Address all vendor inquiries promptly and professionally.
  • Budget Assistance: Support the General Manager with reserve budgets and projects, including invoice processing and project reserve reconciliation.
  • Purchasing Support: Facilitate purchases for various departments as required.
  • Event Participation: Engage in all Member and team member resort events, assisting with setup and cleanup.
  • Departmental Assistance: Aid departments in sourcing and purchasing needs.

Qualifications:

To excel in this role, candidates should possess the following qualifications:
  • A minimum of six (6) months of relevant experience.
  • A high school diploma or equivalent.

This position requires the ability to comprehend and follow both verbal and written instructions, as well as proficiency in business English and office practices. Effective communication, problem-solving skills, and the ability to maintain positive working relationships are essential.
