Summary Statement

The City of Boise is seeking a dedicated and enthusiastic individual to become a part of our Police Department's Records Division.

Records Technicians are expected to work 40 hours per week, typically in four ten-hour shifts. Shift assignments may vary based on seniority, and candidates must be flexible to work all shifts, including nights, weekends, and holidays.

This role is eligible for additional shift differential pay on top of the base hourly wage.

Day Shift: $17.50

Swing Shift: additional 5% if half of the shift is scheduled after 5:00 P.M.

Night Shift: additional 7.5% if half of the shift is scheduled after 9:00 P.M.

The Ideal Candidate Will:
  • Have a solid understanding of computer systems and various software applications; demonstrate proficiency in English language usage, including spelling, grammar, and punctuation.
  • Be capable of learning police records operations, relevant laws, regulations, and terminology associated with law enforcement records.
  • Exhibit a high degree of accuracy in data entry and verification; identify and rectify input errors.
  • Review and analyze documents related to departmental functions; recognize, identify, and resolve operational issues; learn to interpret and clarify departmental policies and procedures.
  • Uphold the confidentiality of information as mandated by law.
  • Effectively organize, prioritize, and manage work tasks; work independently and collaboratively within a team; multitask efficiently.
  • Communicate clearly and effectively, both verbally and in writing.
Essential Functions

This position addresses moderately complex issues and problems, escalating more intricate matters to senior staff as necessary. The individual will perform all duties of a Records Technician I and provide support and training to team members as required.

Responsibilities include processing police records in accordance with management regulations, policies, and procedures. The role involves reading and interpreting crime reports, which encompass city, state, and federal statutes, and applying Federal Bureau of Investigations (FBI) guidelines to classify events within the records management system.

Maintaining the security, privacy, and confidentiality of police records is paramount. The technician will determine which records can be released to other agencies based on established policies and procedures.

Classifying and updating police report data and documents electronically in the Records Management System in compliance with National Incident-Based Reporting (NIBRS) federal regulations is a key responsibility. The technician will also conduct error checks and system/data audits to ensure quality and prepare specific reports.

Administrative and technical support will be provided to internal police staff utilizing software systems. The technician will assist the public in accessing police services by identifying their needs and directing them to appropriate resources.

Additional duties include packaging case reports for submission to relevant prosecutorial offices, coordinating with operational units to compile complete case reports, and ensuring all involved agencies have the necessary documentation regarding relevant cases.

Other responsibilities may be assigned as needed.

Requirements

Required Knowledge, Experience, and Training
High school diploma and two years of experience in a professional office setting, utilizing computer software systems for data entry, managing records, and providing customer service through direct interaction and telephone communication, or an equivalent combination of education and experience.

Knowledge of general office practices, procedures, and equipment; computer usage and related software; customer service techniques; mathematical computations and data operations; organization and evaluation of crime report data; and the functions of law enforcement is essential.

Ability to work with high accuracy levels, both independently and as part of a team; exercise sound professional judgment and ethics; communicate effectively in English for efficient job performance; and perform all essential functions as assigned by authorized personnel with or without reasonable accommodation.

Preferred Knowledge, Experience, and Training
Four years of direct experience in law enforcement records management.

National Crime Information Center (NCIC) certification and familiarity with teletype systems.

Understanding of the National Incident-Based Reporting System (NIBRS) and its guidelines.

Licensing and Other Requirements
Must obtain NCIC certification and teletype familiarity within six months of employment.

Special Requirements
Applicants must successfully pass background checks, including criminal history and reference checks, in accordance with city hiring regulations.
