Role Summary:

The Member Experience Associate serves as the primary point of contact for Kiln community members, embodying the essence of Kiln.

Goals and Objectives:

Assist the Community Management team in fulfilling the following:

  • Embody Kiln's core values and work towards our mission
  • Foster a welcoming and collaborative community atmosphere through events and member relationships
  • Ensure the operational efficiency of assigned Kiln facilities
  • Promote and drive growth of Kiln's service offerings
  • Support the Community Team as directed by the Community Director

Key Relationships:

  • Collaboration with other locations
  • Communication with members

Major Responsibilities:

Oversee the organization and functionality of the front desk, main lobby, storage areas, mailroom, and overall Kiln office space.

  • Provide a warm and friendly welcome to team members, Kiln members, and guests
  • Manage front desk coverage during designated business hours
  • Oversee the guest check-in process
  • Handle mail services and ensure accurate distribution to members
  • Facilitate walk-in tours and capture inbound leads
  • Assist with new member onboarding processes (orientation, keys, welcome kits, etc.)
  • Prepare for new member office move-ins and inspect offices post move-outs
  • Develop organizational systems for inventory as necessary
  • Manage inventory and procurement of front desk supplies
  • Coordinate event inquiries and calendar bookings, assisting with setup and breakdown
  • Maintain cleanliness and organization of the front desk and building
  • Support building operations and maintenance to enhance member experience
  • Prepare communications for members, including notes, emails, and messages
  • Address member-related issues to ensure a seamless experience
  • Identify issues for escalation to the Community Director and document accordingly
  • Act as a liaison with Kiln Parking Office/gym (as applicable)
  • Provide administrative support to the Director, including calendar management and meeting preparations
  • Procure logos for new member desks and offices

Ideal Experience and Skills:

  • Partial completion of a college degree preferred, but not mandatory
  • Experience in office management or administrative roles
  • Background in customer service or support
  • Strong verbal and written communication skills
  • Exceptional organizational and multitasking abilities
  • Demonstrates integrity, dependability, and accountability
