Role Summary:

The Member Experience Associate serves as the initial point of contact for Kiln community members, embodying the essence of Kiln.

Goals and Objectives:

Assist the Community Management team in fulfilling the following:

  • Exemplify Kiln's core values and contribute to our mission
  • Foster a welcoming and collaborative community atmosphere through events and member relationships
  • Ensure that designated Kiln facilities operate seamlessly and processes are efficient
  • Promote and drive growth of Kiln's service offerings
  • Follow directives from the Community Director to support the Community Team as needed

Major Responsibilities:

Oversee the functionality and organization of the front desk, main lobby, storage areas, mailroom, and overall Kiln office environment.

  • Provide a warm and friendly welcome to team members, Kiln members, and guests
  • Manage front desk coverage during business hours
  • Oversee the guest check-in process
  • Handle mail services and ensure accurate distribution to members
  • Facilitate walk-in tours and capture inbound leads
  • Assist with new member onboarding processes (orientation, keys, welcome kits, etc.)
  • Prepare for new member office move-ins and inspect offices post move-outs
  • Develop new organizational systems for inventory as required
  • Manage inventory and procurement of mailroom and front desk supplies
  • Coordinate event inquiries and calendar bookings, assisting with event setup and breakdown
  • Maintain cleanliness and organization of the front desk and building, addressing spills and scheduling cleaning as necessary
  • Support building operations and maintenance to ensure an optimal member experience
  • Prepare communications for members, including notes, emails, and messages regarding member highlights, birthdays, and newsletters
  • Troubleshoot member-related issues to ensure a seamless experience
  • Identify issues for escalation to the Community Director and document accordingly
  • Act as a liaison with Kiln Parking Office/gym (location dependent)
  • Provide administrative support to the Director through calendar management, meeting coordination, and conference room preparation
  • Procure logos for new member desks and private offices

Ideal Experience and Skills:

  • Some college education preferred, but not mandatory
  • Experience in office management or administrative roles
  • Background in customer service or support
  • Strong verbal and written communication abilities
  • Exceptional organizational and multitasking capabilities
  • Demonstrates integrity, reliability, accountability, and empathy
