Duties and Responsibilities:

  • Confirm client insurance details; secure electronic signatures from clients upon their arrival, ensuring there are no changes in insurance, address, or contact information since their last visit; accurately document any updates in the Electronic Client Records (ECR).
  • Manage incoming calls and welcome walk-in clients; provide information on the process for becoming a client; schedule appointments in accordance with established protocols.
  • Collaborate with the billing department to address any billing inquiries as they arise.
  • Perform additional tasks as directed by your supervisor.

Assist the Front Desk Supervisor with:

  • Generating daily patient reports to assess outstanding balances and coordinating timely collection of payments.
  • Developing suitable payment arrangements for patients.
  • Sending out delinquency notifications, follow-up termination letters, and monthly patient statements.
  • Ensuring new clients have valid insurance or a signed payment plan documented with necessary income verification prior to scheduling their initial evaluation.
  • Producing weekly Scheduled Appointment Reports for the Outpatient and Open Access programs to verify active insurances and ensure timely setup for patients lacking insurance to meet with an Insurance Navigator. In the meantime, schedule appointments to collect income verification documents, determine appropriate private pay amounts based on the organization's sliding scale, and input that information into the ECR system.

Qualifications:

  • Associate degree in office technology, business, or a related field, along with five years of administrative experience, preferably in a healthcare or behavioral health setting.
  • Strong organizational skills; detail-oriented; capable of managing multiple tasks and working effectively under pressure.
  • Certification as a Medical Biller is preferred.
  • Proficient in Microsoft Office Suite.
