A Brief Job Description:

Duties and Responsibilities:

  • Authenticate client insurance details; secure electronic signatures from clients upon their arrival, confirm no alterations in insurance, address, phone number, etc., since their previous visit; document any changes in the Electronic Client Records (ECR).
  • Manage incoming calls and welcome walk-in clients; elucidate the process for onboarding new clients; schedule appointments following established protocols.
  • Collaborate with the billing department to address any billing discrepancies as they arise.
  • Perform additional tasks as directed by your supervisor.

Assist the Front Desk Supervisor with:

  • Generating daily patient reports to ascertain outstanding balances and coordinating timely collection of those amounts.
  • Developing suitable payment plans for patients.
  • Dispatching delinquency notices, follow-up termination letters, and monthly patient statements.
  • Ensuring new clients possess valid insurance or a signed payment agreement with necessary income verification documents prior to scheduling their initial assessment.
  • Producing weekly Scheduled Appointment Reports for outpatient services to verify active insurances and ensure any uninsured patients are promptly scheduled to meet with an Insurance Navigator. In the interim, appointments will be arranged to collect income verification documents, determine appropriate private pay rates based on the prevailing sliding scale, and enter that information into the Electronic Client Records (ECR) system.

Qualifications:

  • Associate degree in office technology, business, or a related field, along with five years of administrative experience, preferably in a healthcare or behavioral health setting.
  • Exceptional organizational abilities; detail-oriented; capacity to manage multiple tasks and perform under pressure.
  • Certification as a Medical Biller is preferred.
  • Proficient in Microsoft Office Suite.
