Position Overview

The Service Coordinator plays a vital role in ensuring effective communication with clients, meticulous planning, and efficient dispatching of service technicians. This position requires proficiency in utilizing company software systems and executing various tasks as outlined below. It is essential to maintain organization, safety, and timely completion of all assigned responsibilities.

Key Responsibilities include, but are not limited to:

Daily Work Order Management:

  • Generate call slips and work orders containing all relevant client details in the COINS system.
  • Prioritize, schedule, and allocate work orders to service technicians.
  • Dispatch work orders to technicians' iPads and confirm that they have commenced their assignments.
  • Update the status of all assigned work orders regularly.
  • Ensure that all completed calls are closed at the end of each day.
  • Verify accurate coding of time, editing of remarks, and proper listing of materials and costs.
  • Monitor incomplete work orders to ensure timely follow-up.
  • Communicate with technicians regarding updates on open calls.

General Daily Tasks:

  • Confirm that time cards are submitted by all iPad users each morning (by 10 AM) for the previous day.
  • Contact technicians who have not submitted their time cards by 10 AM to ensure compliance.
  • Inform service managers of technicians who are not adhering to time card submission requirements.
  • Review all calls from the previous night/weekend each morning, discuss with technicians, and enter details into COINS.

Additional Duties:

  • Develop a comprehensive understanding of the skills possessed by all commercial service technicians.
  • Enhance the productivity and quality of service technicians while ensuring prompt attention to emergency jobs.
  • Ensure that each technician has a job assigned on the CMS board for the following day before leaving.
  • Compile weekly numbers and dispatch as necessary.
  • Follow up on National Accounts service calls, including estimated times of arrival, findings, quotes needed, and completion dates.
  • Monitor parts awaiting quotes for assigned technicians and document communications.
  • Send weekly updates via text and email to on-call personnel.
  • Ensure timely completion of outstanding work.
  • Guarantee that scheduled work is executed as planned, with emergency jobs being the only interruptions.
  • Propose improvements to the operations manager.
  • Exhibit strong organizational skills and the ability to climb stairs as required.
  • Demonstrate proficiency in computer skills and adaptability to new software systems.
  • Show self-motivation and a collaborative spirit.
  • Maintain a strong work ethic and the ability to multitask.
  • Adhere to safety protocols in the workplace.
  • Additional responsibilities may be assigned as necessary.

Compensation Range: $20.00-$24.00/hour
