Administrative Support Specialist

Position Summary: The Administrative Support Specialist plays a crucial role in providing essential clerical and computer assistance to facilitate the smooth operation of the Energy Division and its associated programs.
Key Responsibilities:
- Manage updates, create photocopies, and distribute necessary forms and reports to the Energy Programs Management, Fiscal Department, and other relevant support teams to ensure accurate record-keeping and invoicing.
- Prepare, enter, verify, and update energy-related documents for approval by the Program Specialist II, followed by organizing packages for mailing.
- Utilize multiple computer systems to meet program requirements effectively.
- Maintain regular communication with the Program Specialist II to ensure timely processing of paperwork.
- Review and confirm the accuracy of energy documents submitted by field staff.
- Foster positive working relationships with both staff and clients.
- Contact clients as necessary to clarify information and provide customer service, including referral information.
- Handle incoming calls, screening and directing them appropriately.
Qualifications:
To excel in this role, candidates must meet the following requirements:
- Education: High school diploma or equivalent, along with a certificate from a college or technical school; or six months of relevant experience and/or training; or a combination of education and experience.
- Typing Skills: Ability to type at least 40 words per minute.
- Computer Proficiency: Moderate skills in data entry and familiarity with software such as Word and Excel.
- Language Proficiency: Ability to comprehend and execute detailed written or verbal instructions and address problems involving a few concrete variables.
- Mathematical Skills: Capability to perform basic arithmetic operations and interpret data in various formats.
- Reasoning Ability: Ability to follow instructions in written, oral, or diagram form and tackle problems with several concrete variables.
Certificates and Licenses: A valid driver's license and access to transportation are required.
Physical Requirements: The role may require occasional lifting or moving of items weighing up to 10 pounds.
Work Environment: The position is typically in a quiet office setting.
