POSITION SUMMARY:

The Patient Services Specialist is responsible for coordinating the scheduling of appointments, managing pre-procedure communications, and ensuring the accuracy of medical record documentation. This role requires proficiency in handling electronic medical records (EMR) and entering demographic data for insurance payers.

KEY RESPONSIBILITIES:

  • Efficiently schedule and manage all patient appointments using the scheduling module, ensuring timely completion of pre-procedure activities.
  • Handle patient cancellations and additions to the schedule in accordance with established protocols.
  • Professionally greet patients and visitors, collecting necessary identification and insurance information to facilitate the admissions process.
  • Maintain and organize patient medical and financial records securely and confidentially.
  • Oversee the front-end billing process, ensuring accurate data entry into the registration module.
  • Conduct insurance verification and manage prior authorization processes as required by payors.
  • Assist with patient transportation in compliance with company policies.
  • Ensure all necessary signatures are obtained on admissions and chart data in line with company procedures.
  • Accurately scan and file documents within 24 hours of patient visits, including physician reports.
  • Communicate any changes regarding procedures and insurance to relevant internal parties and update patient records promptly.
  • Coordinate the collection, processing, maintenance, and retrieval of medical records as per policy.
  • Maintain logs of medical record releases and provide information for research or study projects related to patient care.
  • Manage office materials, including inventory, shipments, and deliveries.
  • Perform additional duties as assigned.

WORK ENVIRONMENT:

This position is situated in a healthcare facility characterized by controlled air temperature and moderate noise levels. Employees may encounter infectious materials and will engage in desk work, computer tasks, and patient interactions.

EDUCATION AND EXPERIENCE:

A High School Diploma or equivalent is required; an Associate Degree or higher is preferred. Candidates should have 1-2 years of relevant experience, ideally in a medical setting with insurance billing.

SKILLS:

Proficiency in computer applications, particularly Microsoft Office, is essential. Candidates must possess excellent verbal and written communication skills, the ability to multitask, and adaptability to various software applications.
