POSITION SUMMARY:

The Patient Services Specialist is responsible for managing the scheduling and communication processes associated with patient procedures. This role includes overseeing medical record documentation, ensuring accurate demographic data entry, and facilitating interactions with insurance payers and the Revenue Cycle team. The specialist will also greet patients and handle multi-line phone and fax communications.

KEY RESPONSIBILITIES:

  1. Efficiently schedule and input appointments using the scheduling module, ensuring all pre-procedure activities are completed.
  2. Manage patient cancellations and additions to the schedule in alignment with center protocols.
  3. Print daily patient schedules and prepare patient charts for appointments.
  4. Professionally greet patients and visitors, collecting necessary identification and insurance information to initiate the admissions process.
  5. Maintain and secure patient medical and financial records in compliance with confidentiality standards.
  6. Complete the front-end billing process, ensuring all information is accurately entered into the registration module.
  7. Conduct insurance verification and manage prior authorization processes as required by payers.
  8. Assist with patient transportation in accordance with company policies.
  9. Ensure all necessary signatures are obtained on admission and chart documentation as per FMCNA guidelines.
  10. Accurately scan and file documents within 24 hours of patient visits, including physician reports.
  11. Communicate any changes regarding procedures and insurance to relevant internal parties and update patient records promptly.
  12. Coordinate the collection, processing, maintenance, and distribution of medical records in accordance with established policies.
  13. Maintain logs of medical record releases as required.
  14. Provide information to parties involved in research or studies related to patient care and service utilization.
  15. Oversee the management of office materials, including inventory and deliveries.
  16. Perform additional duties as assigned.

WORK ENVIRONMENT:

This role is situated within a healthcare facility characterized by controlled air temperature and moderate noise levels. Employees may encounter infectious materials and will engage in desk work, computer tasks, and patient interactions.

EDUCATION AND EXPERIENCE:

A High School Diploma or equivalent is required; an Associate Degree or higher is preferred. Candidates should have 1-2 years of relevant experience, ideally in a medical environment with a focus on insurance billing.

SKILLS:

Proficiency in computer applications, particularly Microsoft Office, is essential. Candidates must possess excellent verbal and written communication skills, the ability to multitask effectively, and adaptability to various software applications.
