About the Role

We are seeking an experienced Regional Transition Coordinator to join our team at Willow Bridge Property Company. As a key member of our operations team, you will be responsible for ensuring a seamless transition process for our properties in the Midwest region.

Key Responsibilities
  • Property Transitions
    • Participate in transition calls with regional and national teams to ensure a smooth transition process.
    • Provide onsite support and guidance during the transition process to ensure all necessary information is received from the outgoing management company.
    • Manage utility transfers and set up 3rd party utility billing companies to ensure a seamless transition.
    • Complete the Blue Moon Default Lease document to ensure compliance with company policies.
    • Assist with post-transition file audits to ensure accuracy and completeness.
    • Champion a thoughtful, engaging, and impactful culture during the transition process.
  • Property Dispositions
    • Lead the project for property closeouts and offboarding of properties, providing onsite assistance on closeout day.
    • Schedule and host property closeout calls with regional teams to ensure all necessary information is shared.
    • Submit closeout notices to national vendors and IT closeout tickets to ensure a seamless transition.
    • Track and ensure the completion of all property transition tasks in Basecamp across the portfolio.
  • Due Diligence
    • Lead the project for property due diligence for potential property acquisitions, ensuring all necessary information is received from the broker or client.
    • Schedule and host kickoff calls with regional leadership to ensure all necessary information is shared.
    • Participate in and assist with coordinating unit walkers and file audits with regional teams and Director, DD & Transitions.
    • Set up Basecamp projects for all property due diligences to ensure a seamless transition.
    • Request DD packet of files/information from the broker or client and set up DD software to ensure a seamless transition.
    • Compile all DD data and assist RPM with the data rollup to ensure accuracy and completeness.
  • Support
    • Remain up to date in all areas of property management processes and policies within Willow Bridge Property Company.
    • Be a well-rounded base of knowledge to field questions and serve as a resource for team members.
    • Assist with special projects as assigned by the National Director of Due Diligence and Transitions.
    • Collaborate with other departments on cross-functional projects to improve overall operational efficiency.
Qualifications
  • The position requires up to 50% travel to various property locations nationwide.
  • At least 2-5 years of property management experience, including in-depth knowledge of all property management systems and programs that are performed at a site level.
  • Previous experience in property transitions/project management within the multi-family industry is highly preferred.
  • Bachelor's Degree preferred.
  • Proficient in Microsoft Word, Excel, PowerPoint, Smartsheet, Yardi, Entrata, and OneSite.
  • Highly motivated self-starter capable of working independently and in a team environment.
  • Exceptional listening skills, ability to problem solve, and patience with team members of all skill levels.
  • Demonstrated ability to work with multiple priorities and prioritize effectively to ensure successful completion of projects.
  • Professional apparel and demeanor are expected when interacting with clients, colleagues, and residents.
