Job Overview

POSITION SUMMARY

Havtech LLC is seeking a skilled Financial Controller to oversee the Accounting and Finance division. Reporting directly to the Chief Financial Officer and collaborating with the Principals, the Financial Controller is responsible for formulating and implementing policies and procedures related to accounting, budgeting, financial reporting, and internal controls across various business units within the Havtech organization. This role involves maintaining accurate financial records, assessing operational costs, economic trends, controls, and profitability, while preparing comprehensive analyses for managerial and administrative purposes.

The Financial Controller will also work closely with General Management, senior leadership, human resources (HR), and information technology (IT) teams to improve and integrate finance, HR, and IT operations.

KEY FUNCTIONS AND RESPONSIBILITIES include, but are not limited to:

Leadership in Finance and Accounting

  • Establish and maintain a documented system of accounting policies and procedures.
  • Create a control environment to safeguard company assets, including cash, inventory, fixed assets, and investments.
  • Ensure that controls are in place regarding computer and process-driven systems.
  • Regularly analyze financial data and deliver accurate financial reports; communicate monthly, quarterly, and annual financial statements; monitor progress and changes, keeping senior leadership informed of the financial status of business units.
  • Assist company leadership in the annual budgeting and planning process; review all financial plans and compare them to actual results to identify, explain, and rectify variances as necessary.
  • Ensure timely processing of customer invoicing, actively manage collections of outstanding accounts, and oversee vendor payments.
  • Collaborate with executive and sales teams to assess the creditworthiness of potential and existing customers.
  • Monitor cash flow and manage payables to enhance cash management and vendor relationships.
  • Maintain the fixed asset ledger and generate depreciation entries.
  • Lead the timely reconciliation of subsidiary ledgers and balance sheet accounts.
  • Analyze expense accounts and reconcile bank accounts, subsidiary ledgers, and other balance sheet accounts.
  • Supervise the completion and review of sub-ledgers, including Accounts Receivable, Accounts Payable, and inventory.
  • Oversee the preparation of supporting schedules for balance sheet items, such as prepaid and accrued expenses.
  • Conduct analysis and review for accuracy to provide insights to the Executive Team regarding backlog, bookings, commissions, open purchase orders, and key performance indicators relevant to the industry.
  • Prepare all necessary documentation for tax returns and owner distributions as required by external CPA firms.
  • Generate reports and analyses related to vendor activity for contract negotiations, salary and benefit analysis as part of the annual budget and forecasting, and inventory metrics such as turnover, lead time, and profit margins.
  • Continuously seek to enhance business processes by evaluating current and potential functionalities of computer systems.
  • Work with insurance brokers to determine appropriate coverage across all insurance areas, including property and casualty, umbrella, and officer coverage.
  • Foster a positive and supportive work environment by strengthening internal communications among associates at all levels.

Compliance Oversight

  • Coordinate all audit activities with banking and financial consultants.
  • Prepare monthly sales tax filings.
  • Stay informed on laws and regulations concerning NEXUS requirements in operational jurisdictions.
  • Ensure compliance with all Union reporting requirements.
  • Adhere to federal, state, and local legal requirements by filing financial reports and advising management on necessary actions.
  • Collaborate with external attorneys and consultants as needed.

QUALIFICATIONS include:

This role presents an exceptional opportunity for a seasoned leader with over 10 years of experience in accounting and finance, ideally starting in accounting and audit, followed by expertise in gathering, evaluating, presenting, and reporting financial information to executive teams.

  • A Bachelor's Degree in Accounting, Finance, or a related field is required. Preference will be given to candidates with a master's degree in accounting or an MBA in finance, along with Certified Public Accountant or Certified Management Accountant designations.
  • Experience collaborating with an executive team and possessing strong written and verbal communication skills.
  • Demonstrated leadership capabilities.
  • Familiarity with various financial/accounting and CRM software is preferred (specifically Microsoft Dynamics GP and Microsoft Dynamics CRM).
  • Advanced proficiency in Microsoft Excel and the Microsoft Office Suite.
  • Experience in creating queries using SQL and SQL Reporting Services Reports.
  • Excellent organizational, analytical, and communication skills.
  • Able to take direction in a matrix leadership organization and manage multiple tasks in a fast-paced environment.
  • Personal attributes of integrity, credibility, and the ability to maintain confidentiality.
  • Capable of developing and executing business and strategic plans.
