Job Title: Administrative Services Executive

About Us:

The Point at Rockridge, a premier senior living community, is seeking a results-driven Administrative Services Executive to join our team. With a focus on delivering exceptional care and services, we need someone with strong administrative expertise to help us achieve this goal.

Salary: $90,000 - $120,000 per year, depending on experience

Job Summary:

We are looking for a highly skilled administrative professional with excellent leadership abilities to oversee our administrative operations. As Administrative Services Executive, you will be responsible for managing cash controls, preparing financial reports, and coordinating payroll processing. Your extensive knowledge of administrative procedures and protocols will ensure the accuracy and compliance of our financial records.

Responsibilities:

  • Prepare and submit necessary documentation for resident move-ins, move-outs, transfers, and ancillary charges.
  • Oversee cash controls, including depositing and posting cash receipts, and implementing and monitoring controls over petty cash.
  • Maintain daily cashbooks for operational accounts and prepare monthly bank reconciliation.
  • Monitor and oversee the processing of accounts payable.
  • Ensure department managers complete appropriate assignment of departmental expenses and supporting documentation is executed and maintained.
  • Coordinate the processing of payroll and employee benefits, as well as payment of insurance, real estate taxes, and related reporting requirements.
  • Prepare and enter journal entries and maintain appropriate sub-schedules for Balance Sheet accounts.
  • Review and distribute the monthly financial statements.
  • Prepare management reports as requested.
  • Maintain team member, resident, vendor, and financial accounting files in accordance with established policies and requirements.
  • Interface with residents on billing/collection issues.
  • Oversee preparation and maintenance of resident files, records, and reports.
  • Manage community Human Resource function, ensuring a positive first impression and adherence to the new hire orientation program.
  • Oversee payroll and Team Member paperwork, including new hire and change forms.
  • Manage open positions using the applicant tracking system (ATS) and job postings.
  • Manage scheduling for Concierge team members.
  • Create setup and oversight for Health Center residents' private accounts, and prepare necessary reports to adhere to State, Local, and Federal guidelines.

Qualifications:

  • Bachelor's degree in Accounting with one year of experience as an Accountant, or
  • Associates degree in Accounting with two to three years of related experience.
