POSITION SUMMARY

Intake Specialists are responsible for conducting intake processes, determining eligibility, and performing initial assessments. They provide valuable labor market information, assist with navigation through the Comprehensive AJCC and partner systems, and lead informational workshops and basic career services.

KEY RESPONSIBILITIES

  • Welcome clients, assess their needs and expectations, and guide them through the next steps.
  • Deliver comprehensive information about available services, including accessibility options, referrals, and processes.
  • Manage incoming calls, take messages, and direct inquiries to the appropriate personnel.
  • Plan and coordinate assessments to determine job seekers' suitability and eligibility for services.
  • Facilitate regular individual and group intake sessions for job seekers at the center, as well as offsite and specialty sessions for events.
  • Communicate program details to applicants and maintain a thorough understanding of the forms being completed, their purpose, and usage.
  • Address inquiries, respond to customer questions, and provide follow-up as necessary.
  • Track enrollments and report relevant information to colleagues and management.
  • Review right-to-work documentation and verify information prior to submission.
  • Utilize CalJOBS as an application tool for enrolling participants in the WIOA program.
  • Employ Microsoft Office tools and web-based databases to generate reports and communicate performance metrics.
  • Collaborate with the Career Coach team to ensure timely submission, tracking, and onboarding of new customer information, including follow-up and case notes.
  • Work collaboratively within a team while making independent decisions regarding client needs.
  • Perform additional support duties as assigned, with opportunities for cross-training in various tasks.

QUALIFICATIONS
  • Experience in direct customer service, with the ability to manage a diverse client population facing various employment barriers.
  • Ability to take initiative in researching information for staff and job seeker clients.
  • Strong interviewing skills to conduct initial assessments for appropriate referrals.
  • Bilingual in Spanish or another community language is preferred but not mandatory.
  • Associate's degree in business, social work, or related fields (experience may substitute for education).
  • Attention to detail and timeliness are crucial; knowledge of WIOA common measures and requirements is desirable.
  • Ability to work independently while also being a cooperative team member.
  • Proficiency in Microsoft Office applications, including Word and Excel.
  • Friendly demeanor and willingness to work flexible hours to achieve objectives.
PHYSICAL REQUIREMENTS

While performing the essential functions of this role, the incumbent must be able to stand and sit for extended periods, bend and reach for filing and other job-related tasks, and climb stairs as necessary. Specific visual abilities include close vision, color vision, depth perception, and the ability to adjust focus. Manual dexterity is required to operate computers and other office equipment.

This position will be performed in an office environment, with travel to employer and client work sites as needed. Some evening and occasional weekend work may be required.

SALARY

$22 to $23 per hour
