Job Overview:

Under the supervision of the Grant Manager, the Grants Coordinator is responsible for executing grant management tasks that require a high level of expertise in several key areas:

a) Financial oversight and analysis

b) Project Management

c) Administrative Support

Key Responsibilities:


Invoice and Budget Management: Facilitates the collection of data from grant recipient organizations and tracks internal spending. Gathers necessary documentation for project milestones and prepares monthly invoicing reports. Aids in establishing systems to ensure adherence to grant stipulations. Assists in the evaluation of budget modifications.


• Administrative Support:
Executes a range of complex tasks for executives, administrators, or program managers, including conducting research, managing special projects, and preparing and controlling budgets. Updates forms and files as required. Provides assistance with documentation and report preparation for the relevant grant programs. Drafts correspondence on various topics.


Project Coordination: Oversees one or more grant programs. Collaborates with the Grant Manager to develop necessary forms, processes, procedures, and policies. Works closely with the manager to implement project timelines, deliverables, and milestones, while compiling weekly progress reports.


Reporting: Generates a variety of financial and operational reports. Supports the team in gathering information for reporting documents (both internal and external - monthly, quarterly, and year-end). Collaborates with grant partners, healthcare facilities, internal teams, and vendors for data collection and analysis.


Meeting and Event Coordination: Prepares for and organizes meetings and events. Drafts agendas and minutes for meetings. Participates in meetings, workshops, and seminars to convey and gather information relevant to grant operations.


Communication: Engages with consultants, staff, vendors, grant partners, and healthcare facilities throughout the project lifecycle. May represent the organization during site visits.


Expenditure Analysis: Investigates state and federal regulations to determine allowable expenses under grant funding.

Required Knowledge, Skills & Abilities:

Knowledge:


• Familiarity with state and federal funding sources


• Principles and practices of grant management


• Financial and budgeting processes


• Reporting requirements for state and federal grants

Skills:


• Proficiency in Google Suite and other software


• Strong written and verbal communication skills


• Competence with basic office equipment


• Effective project management abilities

Abilities:


• Capability to plan, analyze, and coordinate activities


• Maintain confidentiality with sensitive information


• Prepare financial reports accurately


• Prioritize tasks and meet deadlines efficiently


• Interpret financial data effectively


• Highly organized and detail-oriented

Educational Requirements:


• A Bachelor’s degree in a relevant field is mandatory.

Preferred Qualifications:


• A minimum of 3 years of experience with federally funded grants is preferred.
