The Office Assistant is vital in maintaining a seamless and productive office atmosphere by overseeing the front desk, executing various administrative duties, and supporting overall office functions. As the primary contact for visitors, staff, and vendors, this role requires excellent communication abilities, a proactive mindset, and the capacity to multitask effectively in a dynamic environment. The ideal candidate will thrive in creating a welcoming environment while ensuring high organizational standards.

Working Hours and Schedule:

  • On-Site
  • Monday-Friday, 8:30 AM - 5:30 PM

Key Responsibilities:

  • Oversee the front desk and reception areas, acting as the initial point of contact for visitors, employees, job candidates, and vendors.
  • Conduct general administrative tasks, including managing phone calls, emails, mailings, and coordinating meeting-room schedules.
  • Maintain a clean, stocked, and organized office environment, particularly in communal areas.
  • Order office supplies, manage supply stations, and ensure all equipment is functional and well-maintained.
  • Prepare training spaces, including setting up conference rooms with refreshments and necessary equipment.
  • Process paper checks received at the office.
  • Provide support to team members and departments, assisting with the organization of events.
  • Manage travel bookings and assist with related logistics.
  • Perform other duties as assigned.

Essential Skills:

  • Assist with office operations management tasks.
  • Demonstrated experience in office coordination and administrative support.
  • Effectively prioritize tasks with attention to detail and a commitment to quality.
  • Run errands efficiently, including package deliveries and bank deposits.
  • Proficient in MS Office Suite, with a willingness to learn new software.
  • Strong collaboration skills; ability to work across various functions and processes.
  • Exceptional attention to detail, self-motivated, and capable of working independently.
  • Excellent written and verbal communication abilities.
  • Ability to maintain confidentiality regarding company matters.

Qualifications:

  • High school diploma or equivalent.
  • At least 1 year of relevant professional experience.
  • Professional demeanor with high energy and enthusiasm.
