Job Title: Office Assistant

Location: Regional Office

About the Role

The Office Assistant is a key member of the Regional Office team, providing administrative support to ensure the smooth operation of daily functions and activities.

This role coordinates with leadership to provide administrative services that align with Global Practice and business line goals and objectives.

The Office Assistant is responsible for coordinating office support services, facilities management, and other administrative tasks to ensure organizational effectiveness and efficiency.

Key Responsibilities
  1. Facilitate the dissemination of office information to Global Practices and departments as part of the overall communications and management process.
  2. Monitor office deadlines and benchmarks, and support the presentation of monthly progress reports, including tracking action items and progress updates.
  3. Plan, coordinate, and facilitate on-site and off-site meetings for the office, including orientation and training, stakeholder meetings, management meetings, and periodic reviews.
  4. Assemble and analyze information involving business plans and financial reports, resulting in the final business plan submission.
  5. Monitor, review, and approve standard expenditures to ensure activities are conducted within established budgets.
  6. Prepare a variety of communications, including emails, meeting agendas, and meeting minutes.
  7. Supervise and coordinate admin staff.
  8. Maintain a high level of accuracy in preparing information.
  9. Coordinate office furniture and supplies.
  10. Maintain office equipment.
  11. Maintain office supply inventory.
  12. Administer office access security (badging and keys).
  13. Support Human Resource with new hires and terminations.
  14. Process office accounts payable invoices.
  15. Maintain office telephone communication system.
  16. Coordinate company mobile phones.
  17. Monitor fleet assignments and documentation.
  18. Coordinate rental vehicles.
  19. Oversee office petty cash and banking.
  20. Coordinate building maintenance.
  21. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  22. Type 65+ words per minute.
  23. Effective verbal and written communication skills.
  24. Team building skills.
Requirements

Physical:

  • Sitting, Standing, Walking, Talking, Hearing, Grasping, Fine Manipulation, Lifting up to 20 lbs.

Cognitive:

  • Requires ability to adapt, analyze, assess, calculate, make decisions, dependable, exercise good judgment, organize, prioritize, read, memorize, social skills, stress control, and solve problems.

Schedule:

  • Full time/5 days in office / 8am-5pm.

This is a long-term role with the possibility of turning into a permanent position for the right individual.
