Executive Assistant

We are seeking a highly skilled and experienced Executive Assistant to provide high-level administrative support to our Chief Executive Officer (CEO). The successful candidate will be responsible for handling a wide range of tasks, including information management, correspondence, and coordination of meetings and events.

Key Responsibilities- Provide high-level administrative support to the CEO, including handling information requests, drafting correspondences and presentations, and coordinating meetings and events.
- Manage the CEO's calendar, travel, and expense reports.
- Provide administrative support to the Executive Team, including scheduling, expense reports, and travel.
- Prepare for site visits, meetings, and events with internal and external stakeholders, including funders, other provider agencies, and community partners.
- Work with staff across the agency and with the Board of Directors, tracking and documenting key meetings and supporting the development of meeting materials, such as agendas, summary reports, and PowerPoint presentations.
- Coordinate planning and manage day-of logistics for virtual and in-person staff meetings.
- Answer and respond to phone calls, communicate messages and information to the CEO.
- Attend and take minutes at weekly Executive Team meetings and monthly Leadership Team meetings.
- BA Degree preferred, and minimum 3+ years of experience supporting C-suite executive required.
- Previous experience working with non-profit or youth-serving organization preferred.
- The ability to display initiative and personal accountability for the quality and impact of work.
- Ability to coordinate multiple meetings, tasks, and priorities concurrently.
- Strong time management and ability to multi-task, handling complex situations in a fast-paced environment while maintaining good sense of humor, patience, and tact.
- Strong oral and written communications skills that can be deployed with a wide array of stakeholders with diverse perspectives and styles.
- Acute attention to detail in scheduling.
- Ability to function effectively under pressure and meet time parameters.
- Professional demeanor and ability to exercise discretion and maintain confidentiality.
- Proactive, friendly, cooperative, and flexible demeanor.
- Willingness to work collaboratively, but with capacity to work independently.
- Must be able to work on a computer for up to 40 hours per week. Proficiency with Microsoft Office applications including MS Word, Excel, and PowerPoint, Project and Outlook required.
- Availability for occasional evening and weekend work and some travel as needed.
- Must have a car, a valid CA driver's license, access to personal vehicle and auto insurance.
