Position Summary

UC San Diego consistently seeks skilled Administrative Executives to assist leadership across various sectors, including Academic/Student Affairs, Health Services, Operations, Financial Management, Communications, Research, and Advancement. Key responsibilities include:

  • Managing intricate calendars for multiple senior leaders.
  • Coordinating both domestic and international travel arrangements.
  • Tracking financial expenditures and processing reimbursements.
  • Organizing high-profile meetings and preparing necessary materials.
  • Acting as a vital resource for the department, engaging with senior executives, faculty, staff, students, and external organizations.

Additional responsibilities may encompass event planning and fostering relationships with donors and industry partners.

Compensation will vary based on the level and classification of the role, typically ranging from $28 to $34 per hour, with potential for higher salaries in certain positions.

Assignments are generally for a duration of 3-6 months, with temporary roles potentially leading to long-term career opportunities.

This position is part of the CX union.

Qualifications

Applicants should possess:

  • Experience managing complex calendars for executives.
  • Proven skills in arranging domestic and international travel, including collaboration with travel agencies.
  • Exceptional organizational abilities, multitasking skills, and a keen attention to detail.
  • Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and various email and database programs.
  • Strong typing and word processing capabilities for correspondence and reports.
  • Extensive experience in planning and executing meetings and events, including budget management and vendor negotiations.
Special Conditions

A background check is required for this position. This role is classified as a Mandated Reporter under California law, necessitating immediate reporting of any suspected abuse or neglect involving minors.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (subject to prorating based on appointment percentage).

Hourly Equivalent: $53.45

Compensation is determined by experience, skills, education, and organizational needs. The Hiring Pay Scale reflects the anticipated salary range for this position.
