Administrative Coordinator of Leadership and Organizational Engagement

Job Summary

This role exists to coordinate the support of a university-wide leadership, recognition and engagement strategy, which includes programs, events and resources that foster a positive and engaging work environment where the community feels valued and celebrated. This position provides logistical, administrative and fiscal support to the Leadership and Organization Engagement (LOE) team.

Key Responsibilities
  • Manage supplies, reservations and catering for programs and events
  • Manage new and existing vendor relationships, including contracts
  • Create and maintain detailed tasks lists for events and programs
  • Anticipate needs and problem-solve challenges related to event and program coordination
  • Organize, schedule, and support event logistics, including identifying team and volunteer opportunities
  • Participate on relevant university committees to support team mission and initiatives
  • Maintain team administrative processes, including customized requests, while identifying process improvements
  • Prepare reports and presentations for leadership, including status updates
  • Lead team in supply inventory and organization, including shipments and storage of supplies
  • Oversee LOE marketing and communication efforts, including SharePoint site management and email accounts
  • Follow University processes to manage LOE team budget, purchasing and reporting needs
  • Assist team in purchasing and reporting as needed
  • This role may occasionally supervise student employees or interns based on needs and capacity
Additional Duties and Responsibilities
  • Collaborate with HR front desk to request occasional support for LOE events and programs, including printing and assembling materials
  • Provide real-time direction by acting as liaison for event volunteers/support staff
  • Support LOE director with team coordination/administration oversight, such as team retreats, development, and planning sessions as needed
  • Serve on relevant committees and planning teams to provide logistical support for events such as Roadrunners Who Soar, Years of Service, New Employee Community Welcome luncheons and the annual Bring a Child to Work Day
  • Engage in professional development as related to the role and responsibilities
Required Qualifications
  • 3+ years experience in coordinating large-scale events or programs
  • 1+ years providing office/administrative support
  • Experience developing and initiating marketing and communication efforts
  • Experience managing vendors and maintaining budgets
  • Experience with purchasing, reporting and maintaining fiscal records
  • Proficiency in Microsoft Office Suite, including Excel and SharePoint
Preferred Qualifications
  • Bachelor's degree
  • Experience working in higher education
  • 3+ years of experience in employee engagement or recognition
  • 3+ years experience purchasing and managing budgets
  • Experience using Workday Learning or a Learning Management Systems (LMS)
  • Experience managing a website or SharePoint site
  • Experience supervising others or managing volunteers
