Job Summary

This role exists to coordinate the support of a university-wide leadership, recognition, and engagement strategy, which includes programs, events, and resources that foster a positive and engaging work environment where the community feels valued and celebrated.

This position provides logistical, administrative, and fiscal support to the Leadership and Organization Engagement (LOE) team, ensuring the successful execution of events and programs that promote a culture of belonging and inclusivity.

Key Responsibilities
  • Manage supplies, reservations, and catering for programs and events, ensuring seamless logistics and execution.
  • Develop and maintain vendor relationships, including contracts, to ensure timely and cost-effective services.
  • Create and maintain detailed task lists for events and programs, ensuring timely completion and accuracy.
  • Anticipate needs and problem-solve challenges related to event and program coordination, demonstrating proactive and creative thinking.
  • Organize, schedule, and support event logistics, including identifying team and volunteer opportunities, to ensure successful event execution.
  • Participate on relevant university committees to support team mission and initiatives, promoting collaboration and shared goals.
  • Maintain team administrative processes, including customized requests, while identifying process improvements to enhance efficiency and effectiveness.
  • Prepare reports and presentations for leadership, including status updates, to ensure informed decision-making.
  • Lead team in supply inventory and organization, including shipments and storage of supplies, to ensure efficient and effective use of resources.
  • Oversee LOE marketing and communication efforts, including SharePoint site management and email accounts, to ensure timely and effective communication.
  • Follow University processes to manage LOE team budget, purchasing, and reporting needs, collaborating with HR administration manager as needed.
  • Assist team in purchasing and reporting as needed, ensuring timely and accurate completion of tasks.
Requirements
  • 3+ years of experience in coordinating large-scale events or programs, with a proven track record of success.
  • 1+ years of providing office/administrative support, with a focus on logistics and coordination.
  • Experience developing and initiating marketing and communication efforts, with a focus on engagement and inclusivity.
  • Experience managing vendors and maintaining budgets, with a focus on cost-effectiveness and efficiency.
  • Experience with purchasing, reporting, and maintaining fiscal records, with a focus on accuracy and timeliness.
  • Proficiency in Microsoft Office Suite, including Excel and SharePoint, with a focus on efficient and effective use of tools.
Preferred Qualifications
  • Bachelor's degree, with a focus on business, communications, or a related field.
  • Experience working in higher education, with a focus on student engagement and inclusivity.
  • 3+ years of experience in employee engagement or recognition, with a focus on promoting a culture of belonging and inclusivity.
  • 3+ years of experience purchasing and managing budgets, with a focus on cost-effectiveness and efficiency.
  • Experience using Workday Learning or a Learning Management Systems (LMS), with a focus on efficient and effective use of tools.
  • Experience managing a website or SharePoint site, with a focus on timely and effective communication.
  • Experience supervising others or managing volunteers, with a focus on leadership and team management.

Schedule Information
  • [Exempt]
  • Full-time, 40 hours per week
  • Days of the Week: Mon - Fri
  • Evenings and Weekend Work: Evenings hours are rare and align to event and program scheduling. No weekend hours.
  • Schedule: Hybrid schedule, up to two in-office days with remote flexibility
  • Travel: Travel is optional and occasional, not required for the role
