Position Overview: The Refund Specialist plays a crucial role in the financial operations of Conway Medical Center, ensuring that all coding, billing, and claims submission processes are executed with precision and integrity. This position is responsible for managing credit balances and aged trial balances, as well as investigating and resolving credit balance accounts for Provider Network Services.

The Refund Specialist will handle refund requests from third-party payers and patients, conducting thorough research on each credit balance. Any applicable credits will be applied to outstanding balances before processing refunds. Collaboration with Patient Account Representatives is essential to verify all allowances and balances prior to issuing refunds. Documentation supporting each refund will be meticulously prepared and submitted for approval to the Director of Revenue at Conway Medical Center.

Key Responsibilities:

  • Investigate and resolve credit balance accounts efficiently.
  • Process refund requests while ensuring compliance with organizational policies.
  • Maintain accurate records and documentation for all transactions.
  • Communicate with relevant personnel to gather additional information regarding outstanding bills.
  • Follow up on problematic credit balances and recommend appropriate actions for resolution.
  • Work on aged trial balances to minimize outstanding amounts before month-end.
  • Manage mail and phone inquiries related to refund requests.

Essential Qualifications:

Assessment of creditworthiness through consumer credit report review is mandatory.

Education:

  • High school diploma is required.
  • An associate degree in a business-related field is preferred.

Experience:

  • A minimum of two (2) years of experience in insurance processes and billing regulations is required.
  • Prior experience in a physician office setting is preferred.

Required Skills:

  • Exceptional customer service skills are essential.
  • Strong organizational abilities.
  • Proficient in computer skills.
  • Excellent verbal and written communication skills.

Working Environment:

  • High-stress levels due to simultaneous demands.
  • Comfortable office surroundings.
  • Primarily office-based work with some mobility required.

Physical Requirements: Light to medium work is expected. The employee will frequently stand, sit, and walk, and may need to lift or move objects weighing up to 20 pounds. Vision and hearing capabilities are essential for processing instructions and responding to safety codes and alarms. The physical demands outlined are representative of those necessary for successful job performance and will be evaluated through a fit-for-duty review.
