This position is essential for managing credit balances and resolving discrepancies in accounts related to Provider Network Services.

The Refund Specialist will oversee the complete credit balance and aged trial balance, conducting thorough investigations to resolve credit balance accounts. Responsibilities include addressing refund requests from third-party payers or patients, meticulously researching each credit balance, and applying any credits to outstanding balances before processing refunds. Collaboration with Patient Account Representatives is vital to verify all allowances and balances prior to issuing refunds. Documentation supporting refund requests must be compiled and submitted for approval by the Director of Revenue.

Key Responsibilities:

  • Contact relevant personnel to gather additional information regarding outstanding bills.
  • Follow up on problematic credit balances and propose solutions for their resolution.
  • Manage the aged trial balance with the objective of reducing the total amount prior to month-end.
  • Handle mail and phone inquiries related to refund requests.

Essential Qualifications:

Assessment of creditworthiness through consumer credit report analysis is mandatory.

Education:

  • High school diploma is required.
  • Associate's degree in a business-related field is preferred.

Experience:

  • A minimum of two (2) years of experience in insurance processes and billing regulations is required.
  • Prior experience in a physician's office is preferred.

Special Skills:

  • Exceptional customer service skills are essential.
  • Strong organizational abilities are required.
  • Proficiency in PC applications is necessary.
  • Excellent verbal and written communication skills are a must.

Working Environment:

  • High-stress levels due to simultaneous demands.
  • Comfortable and pleasant physical surroundings.
  • Office-type environment with moderate walking and movement.
Physical Requirements: Light to medium physical demands are expected. The employee will frequently stand, sit, and walk, and must be able to exert force to move objects as needed. Vision and hearing capabilities are necessary for processing instructions and responding to safety codes.
