Position Title: Logistics and Customer Support Specialist

Overview: We are looking for a motivated and detail-oriented professional to become a part of our team as a Logistics and Customer Support Specialist. This position is essential in facilitating the smooth execution of logistics operations while delivering outstanding customer support to our clientele. The ideal candidate will have strong organizational abilities, effective communication skills, and a dedication to ensuring customer satisfaction.

Key Responsibilities:

Logistics Management:

  • Oversee and manage the complete logistics workflow, which includes order processing, shipment tracking, and delivery planning.
  • Work in partnership with suppliers, carriers, and internal departments to enhance transportation and distribution efficiency.
  • Address and resolve any logistical challenges that may occur during the shipping process.

Customer Support:

  • Act as the main point of contact for customer inquiries, providing prompt and accurate information regarding order status, shipping updates, and product availability.
  • Handle customer concerns and inquiries efficiently, ensuring a positive experience for all clients.
  • Maintain customer accounts and keep precise records of all interactions.

Order Management:

  • Process and verify customer orders, ensuring compliance with company policies and accuracy.
  • Generate and send invoices for completed orders, ensuring precision and adherence to billing standards.
  • Collaborate closely with the finance team to resolve any billing discrepancies.

Invoicing:

  • Prepare and issue invoices to customers promptly and accurately.
  • Monitor outstanding invoices and follow up to ensure timely payments while addressing any billing inquiries.
  • Work with the finance department to guarantee accurate recording of invoiced transactions.

Documentation and Reporting:

  • Maintain comprehensive records of shipments, invoices, and other relevant documentation.
  • Produce regular reports on logistics, customer support, and invoicing metrics, identifying areas for enhancement and implementing necessary solutions.

Problem Solving:

  • Proactively identify potential challenges in logistics, customer support interactions, and invoicing processes, implementing corrective measures as required.
  • Collaborate with cross-functional teams to tackle challenges and enhance overall service quality.

Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field is preferred.
  • Demonstrated experience in logistics management, customer support, and invoicing roles.
  • Strong knowledge of supply chain processes, logistics operations, and billing practices.
  • Excellent communication and interpersonal skills.
  • Proficient in logistics, customer support, and invoicing software/systems.
  • Detail-oriented with the capability to multitask and prioritize effectively.
  • Strong problem-solving skills with a proactive approach to challenges.
  • Familiarity with relevant regulations and compliance in logistics and invoicing.
  • Able to work collaboratively within a team environment.
  • Strong computer skills, including proficiency in Google Suites.
