Your responsibilities will include:
  • Supporting Project Managers in the arrangement of audio-visual production for significant corporate gatherings, from initial design to event execution, including client consultations to assess requirements and budget, crafting quotes, coordinating with vendors and venues, overseeing logistics, and managing on-site operations.
  • Developing floor plans, designing stage setups, and liaising with venues for both internal and external planning.
  • Assisting in pre/post-event meetings with clients and relevant departments to verify critical information.
  • Facilitating pre-planning and client timelines to ensure smooth execution of event specifics.
  • Collaborating closely with technical, warehouse, marketing, sales, and project management teams.
  • Working with the Production Manager to ensure adequate staffing for production events.
  • Participating in design reviews with internal teams, clients, and consultants.
  • Overseeing and assisting with the loading and unloading of equipment for events.
  • Acting as the primary contact on-site for clients and technical teams to uphold exceptional customer service.
  • Attending weekly meetings to provide updates on upcoming and past events as necessary.
  • Preparing and managing job costing to ensure financial efficiency.
Required experience and skills:
  • A minimum of 1 - 2 years of experience in event management.
  • A creative mindset and a genuine passion for events.
  • Familiarity with audio-visual production, including equipment knowledge and a broad understanding of the event industry.
  • Proficiency in budget creation and a solid grasp of profit and loss statements.
  • Strong verbal and written communication skills.
  • Previous leadership experience and natural management abilities.
  • Detail-oriented, organized, and capable of handling multiple tasks simultaneously.
  • Able to thrive in a dynamic, high-pressure environment.
  • Excellent interpersonal skills and a team-oriented attitude.
  • Availability to work evenings and weekends as needed.
  • Experience with Flex Software Program or the ability to quickly learn new software.
  • Proficient with general office equipment.
  • A degree in Hospitality or relevant experience is preferred.
