POSITION: Event and Relationship Coordinator
Reports to: Chief Development Officer or Chief Executive Officer

LOCATION: Hybrid
POSITION SUMMARY:
The Event & Relationship Coordinator plays a crucial role in the success of the fund development initiatives at Girl Scouts of Gateway Council. This position demands a highly organized, innovative, detail-oriented, and driven individual to oversee event planning and revenue generation. Key responsibilities encompass event management, production, sponsorship acquisition, grant writing and follow-up, alongside meticulous tracking of all activities in line with the annual strategy and overall contribution objectives.
Key Responsibilities:
1. Oversee the development and execution of timelines, programs, and task lists for all special events, including but not limited to: WOD and WWMD events and large council-sponsored activities as assigned.
Full responsibilities may include but are not limited to:
a. Collaborate with the Marketing Team on event concepts, graphic design/production/printing, and promotional strategies.
b. Negotiate costs and services with vendors; secure event venues; arrange catering; procure all supplies/decorations; coordinate audiovisual equipment and operations; manage all logistical aspects of events.
c. Lead volunteer committees for designated events: recruit new members, schedule and conduct planning meetings, including post-event evaluations.
d. Oversee event finances, including sponsorships, invoices, and donations while utilizing the donor database.
e. Ensure follow-up with vendors, sponsors, attendees, and staff members after each event.
2. Develop sponsorship packages and spearhead the solicitation and acquisition of sponsorships for programs, events, and other opportunities identified in the annual work plan. Expected to lead the fulfillment of sponsorship agreement obligations.
3. Research and compose grant proposals for amounts under $25K and manage collaboration with the department overseeing grants.
4. Collaborate with the Membership, Programs, and Product/Operations teams to ensure successful event execution and alignment with Girl Scout initiatives.
5. Interpret and operate in accordance with the Girl Scout Leadership Experience philosophy and the council's policies, procedures, and standards.
6. Actively participate in fostering environments that promote diversity, equity, inclusion, and access through actions and attitudes.
Required Skills/Abilities:
2+ years of prior experience coordinating fundraising special events; an associate or bachelor's degree is preferred. 5 years of experience in non-profit development or a combination of other relevant experience is required for applicants without degrees.
Budget management and negotiation skills
Exceptional time management skills and ability to multitask
Capacity to work independently and take initiative in decision-making
Excellent oral and written communication skills
Proficient in donor database management, Microsoft Office Suite including Word, PowerPoint, Excel, and Outlook
Willingness to travel as needed throughout the council jurisdiction.
Physical Requirements:
The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this role. The employee must be able to withstand:
