Job Overview

Position Summary:

This role is essential in managing invoice processing and supporting month-end financial closing activities.

Key Responsibilities:

  • Establish and uphold an invoice account coding framework for all incoming invoices.
  • Assist in conducting monthly variance assessments alongside departmental leaders for the operational budget.
  • Investigate and categorize invoices accurately.
  • Collaborate with Accounts Payable to ensure timely payments and maintain favorable vendor relationships.
  • Calculate and organize advance payments for urgent and on-demand charters.
  • Prepare reconciliations for customer fuel accounts.
  • Design and maintain a system for billing back charges to clients.
  • Engage closely with vendors to gather and verify all necessary documentation for invoices.
  • Propose enhancements to operational procedures aimed at cost reduction.
  • Provide analytical assistance for departmental initiatives as needed.
  • Develop and refine systems and processes as required.
  • Perform general administrative tasks as necessary.

Qualifications:

  • Bachelor's degree in Accounting, Business, Finance, or a related field.
  • 2-4 years of relevant experience.
  • Experience with publicly traded companies is advantageous.
  • Familiarity with Sage Intaact and iPayables/Invoiceworks software is preferred.
  • Experience in the airline industry is a plus.

Skills:

  • Proficient in computer applications, particularly Microsoft Office (with a focus on Excel).
  • Exceptional written and verbal communication skills are essential.
  • Strong customer service orientation.
  • Able to collaborate effectively within a team setting.
  • Excellent prioritization abilities and capacity to manage multiple tasks simultaneously.
  • Strong analytical and quantitative skills are required.

Physical Requirements:

Specific vision capabilities required for this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
