Job Title: Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at MJHS. As an Administrative Coordinator, you will play a critical role in supporting the day-to-day operations of our organization.

Responsibilities:
  • Manage calendars and schedule appointments and meetings.
  • Prepare minutes, agendas, and administrative memorandums.
  • Assist with editing and formatting policies.
  • Receive and screen incoming calls and correspondence.
  • Represent the office of Administration in a professional manner.
  • Establish and maintain documents and records in an appropriate filing system.
  • Manage petty cash distribution and process invoices for payments.
  • Prepare and file legal documents, contracts, and other administrative documents.
  • Distribute mail within the Administrative office.
  • Collaborate with corporate services resources as appropriate.
  • Provide relief/coverage in the absence of the Executive Assistant.
  • Prepare and maintain all documents and binders required for regulatory surveys.
  • Maintain time and attendance records for Administration Leadership and their Direct Reports.
  • Assist with data collection and spreadsheet completion for daily mandatory reporting.
  • Create and maintain various basic databases and spreadsheet files.
  • Maintain inventory of office supplies for the Administrative office.
  • Coordinate planning of special events, programs, or conferences.
Qualifications:
  • High School Diploma or equivalent required.
  • Minimum three (3) years experience as an Office Assistant/Secretary required, 1 or more of those years in a healthcare setting preferred.
  • Excellent computer and keyboarding skills.
  • Organization and office management skills.
  • Ability to recognize and secure confidential matters.
  • Excellent communication skills.
  • Type a minimum of 50 words per minute.
