Role: Staff Support Associate

Department: Airport Minority Advisory Council

Division: Facilities Management

Key Responsibilities:

  • Provide comprehensive administrative assistance to enhance departmental functions.
  • Organize and facilitate management activities and initiatives.
  • Effectively communicate essential information to relevant stakeholders.
  • Serve as a liaison for management during meetings and special assignments.
  • Compile reports and correspondence related to departmental operations using office technology.
  • Exhibit strong organizational capabilities to ensure smooth office operations.
  • Manage visitor and call screening, ensuring appropriate communication channels are maintained.
  • Oversee the calendar and scheduling for senior management, coordinating meetings and logistics.
  • Prepare management for meetings by providing necessary briefs and materials.
  • Relay information and directives from senior management to departmental staff, ensuring clarity and understanding.
  • Summarize incoming communications and requests requiring management's attention.
  • Handle dictation and transcription duties, documenting meeting notes and preparing summaries.
  • Review and manage correspondence requiring management signatures.
  • Maintain confidentiality of sensitive materials and files.
  • Coordinate travel arrangements and manage related documentation for reimbursements.
  • Adapt to a flexible work schedule, including potential weekend duties.
  • Engage with departmental leaders, city officials, and external stakeholders on project statuses and critical issues.
  • Contribute to special projects and assignments as directed by senior management.
  • Create PowerPoint presentations and other visual materials as needed.
  • Utilize MS Word and Excel for various administrative tasks, including correspondence and data management.
  • Follow up on action items from meetings and pending tasks.

Qualifications:

Minimum Requirements: A bachelor's degree in business administration, public administration, or a related field, along with one year of relevant administrative experience, or an equivalent combination of education and experience.
