Your Role:

We are looking for a Financial Operations Coordinator to take charge of the CFO's calendar, manage meeting logistics, and ensure that schedules are kept up to date. The selected candidate will maintain a precise list of incoming and pending meeting requests, prioritizing them effectively. You will prepare talking points and briefing materials for the CFO's meetings and arrange pre-meeting briefings as necessary. Additionally, you will serve as the primary contact for the CFO, managing incoming correspondence professionally.

Key Responsibilities:

  • Coordinate comprehensive travel arrangements for the CFO, addressing special requirements and ensuring meticulous documentation. This includes providing itineraries, essential information, and fulfilling requirements such as flight bookings, hotel accommodations, visas, and airport transfers. You will also handle business transaction processing for the CFO, including the review and approval of travel expense reports and credit card statements, ensuring compliance with corporate policies and budgetary constraints.
  • Update, proofread, and ensure the timely submission of financial documents for board and executive meetings. Act as a liaison between the CFO's Office and the CEO's Office, coordinating all internal Finance Department meetings, including monthly Finance Managers meetings, and archiving meeting minutes according to internal protocols.
  • Support the esteemed reputation of the CFO's office through professional and courteous interactions both internally and externally. Cultivate responsive relationships with corporate executives and their teams, exercising independent judgment to resolve complex issues while maintaining confidentiality of sensitive information.
  • Provide strategic advice and recommendations regarding the coordination and integration of staff actions, events, and activities within the Finance Department.

Qualifications:

  • A bachelor's degree is required.
  • Demonstrated experience as an executive assistant or in a similar capacity, supporting C-level executives in a corporate setting. Proficiency in Microsoft Office Suite is essential.
  • Prior experience in finance or accounting is preferred.
