Job Overview

The Nursing Staffing Specialist plays a crucial role in overseeing and facilitating the daily functions of staffing, scheduling, and payroll processes within the Nursing Department, including management of agency and travel nurse schedules and invoices.

This position collaborates closely with the Nursing Leadership Team and Practice Area leaders to assess coverage requirements and address any staffing-related challenges. It involves the distribution of clinical resources effectively, leveraging an automated scheduling system to optimize operations. The Staffing Specialist works in conjunction with the Staffing Resource Team to manage daily staffing assignments.

Key Responsibilities
  • Engages with Nursing Supervisors and Leaders to ensure sufficient clinical coverage that meets patient care demands, considering factors such as census, acuity, and productivity, while fostering a safe and positive work culture.
  • Coordinates with the Staffing Resource Team for effective scheduling and daily staffing distribution, ensuring balance for Patient Safety Companions and Benefitted Resource Pool Team members.
  • Provides timely feedback to clinical staff to resolve issues efficiently.
  • Fosters a collaborative and supportive environment among Practice Areas to enhance teamwork and professional development.
  • Participates in bed meetings and safety operational huddles during day shifts.
  • Manages overtime, incentive pay, and staff cancellations in accordance with departmental and HR policies.
  • Collaborates with the Nursing Supervisor to make staffing decisions based on patient care needs during shifts.
  • Assigns staff in the Kronos system and coordinates necessary reassignments across the department.
  • Demonstrates the ability to make prompt decisions in critical staffing situations.
  • Handles all sick calls within the Nursing Department, ensuring accurate pay codes are entered in Kronos and that affected units are notified promptly.
  • Processes requests from associates for additional shifts, entering shifts in Kronos and notifying relevant units accordingly.
  • Works alongside Incident Command to assist with the deployment of associates from the Labor Pool.
  • Contributes to recruitment efforts, including the hiring, training, and onboarding of new team members.
  • Assists with timekeeping to ensure precise employee compensation.
  • Supports attendance tracking and reporting initiatives.
  • Undertakes additional duties as assigned by the supervisor.
Qualifications
  • High School diploma is required; an Associate's degree is preferred.
  • A minimum of one year of experience in timekeeping and scheduling is required.
  • Familiarity with the KRONOS timekeeping system is preferred.
