Position Overview

Objective: Provide comprehensive support to the administrative team in various capacities. Ensure a welcoming environment for residents, families, staff, and business partners.

Qualifications and Responsibilities:

  • High school diploma with specialized training in word processing.
  • At least two years of relevant experience in an administrative role.
  • Proficient in English for effective communication and documentation, with or without reasonable accommodations.
  • Maintain a professional appearance in accordance with the organization's dress code.
  • Meet all licensing and certification standards required for this position.
  • Capable of performing essential job functions safely and effectively, with or without reasonable accommodations.
  • Adhere to the organization's drug testing and substance abuse policies.

Key Duties:

  • Provide clerical assistance to administrative personnel and residents.
  • Manage phone communications and operate the switchboard as necessary, covering for the receptionist during breaks.
  • Organize and facilitate new employee orientation, including procurement of necessary supplies.
  • Conduct follow-ups with new hires through a questionnaire after two weeks of employment.
  • Assist employees with benefits enrollment and eligibility inquiries, serving as a resource for new staff.
  • Maintain and update employee personnel files regularly.
  • Prepare identification badges for new hires and order business cards as needed.
  • Oversee payroll adjustments related to employee status changes, ensuring timely submission of necessary documentation.
  • Coordinate training programs and in-services, including Healthcare Academy and Dementia by Day.
  • Update the emergency contact system with employee and resident phone numbers, as well as maintain the Staff Directory.
