Job Overview

Hoyle Tanner is in search of a part-time, highly organized, and detail-oriented Office Support and Project Coordinator to become a vital part of our team, working 20-25 hours each week. The successful candidate will play a key role in providing administrative assistance to ensure the smooth functioning of our office while supporting project teams with contracts, invoicing, financial management, and client interactions.

Key Responsibilities:

  • Manage and route incoming phone calls
  • Offer administrative support to office personnel
  • Input and maintain project data and plans in Deltek, with guidance
  • Organize filing systems, including insurance documents, contracts, agreements, and project files
  • Support project teams with contracts, invoicing, financial tasks, and client communication
  • Draft, edit, and format letters, memos, and correspondence, including agreements and reports
  • Perform copying, scanning, faxing, and other administrative duties
  • Assist in preparing for meetings and managing calendars
  • Help coordinate travel and event logistics

Qualifications:

  • Associate's degree or equivalent experience
  • 2-5 years of administrative experience
  • Proficient in Adobe and Bluebeam software
  • Familiarity with office management systems and procedures
  • Strong skills in MS Office, particularly MS Excel and MS PowerPoint, along with Adobe and Bluebeam
  • Exceptional time management abilities and prioritization skills
  • Meticulous attention to detail and problem-solving capabilities
  • Outstanding written and verbal communication skills
  • Strong organizational skills with the capacity to handle multiple tasks
  • Experience with Deltek is a significant advantage
