Overview

As a Project Planning Specialist, you will be responsible for the effective management of resources for both in-house and subcontracted teams. Your role will involve assisting the project manager in developing and coordinating schedules, as well as monitoring the timelines of various assignments. Additionally, you will take charge of the document management system, ensuring that all documentation is accurate, current, and adheres to relevant standards and regulations. This position includes overseeing the documentation process from inception to archiving, managing document control personnel, and ensuring compliance with document control procedures across all departments.

Location & Travel Details: This position requires travel up to 25% of the time, covering work sites within the assigned project area.

Responsibilities

  • Oversee resource management schedules for all assigned projects.
  • Develop, implement, and maintain a comprehensive scheduling management system.
  • Identify process efficiencies and establish new procedures to enhance project scheduling.
  • Review progress against established deadlines.
  • Engage in meetings with senior management, peers, and clients.
  • Contribute to project estimation, bidding, contract negotiations, and change order preparation.
  • Identify potential scheduling delays and facilitate corrective actions.
  • Track and report on project activity progress.
  • Collaborate with Project Managers and stakeholders to gather information and update schedules.
  • Independently manage complex assignments to establish project baseline schedules.
  • Lead project planning and execution sessions.
  • Execute logic development, schedule updates, and forecasting.
  • Ensure compliance with client project controls and reporting specifications.
  • Support project management with reporting requirements.
  • Develop and maintain document control systems and processes.
  • Ensure proper numbering, titling, filing, and archiving of documents.
  • Manage document distribution and accessibility for relevant parties.
  • Oversee the review, approval, and distribution of documents.
  • Ensure adherence to regulatory and organizational standards.
  • Conduct regular audits to maintain the integrity of the document control system.
  • Coordinate with various departments to meet document control needs.
  • Handle requests for document retrieval and reproduction.
  • Maintain a log of all document changes and ensure proper version tracking.
Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • A minimum of 10 years of experience as a Project Scheduler in a related industry.

Knowledge, Skills, & Abilities

  • Strong understanding of document control software and systems.
  • Excellent organizational and communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently and collaboratively.
  • Knowledge of regulatory requirements related to document control.
