Position Responsibilities

The Site Administrative Assistant plays a crucial role in supporting office operations, with responsibilities that are primarily clerical but may also involve some job site duties.

  • Adhere to all WPI policies, procedures, and corporate safety protocols.
  • Manage incoming calls and direct them to the appropriate personnel. Welcome and guide visitors to the company in a courteous and professional manner.
  • Provide information to callers regarding company details, including location, fax numbers, website, and other relevant inquiries.
  • Receive, categorize, and distribute incoming mail. Organize the collection and delivery of express mail services.
  • Assist in the procurement, reception, inventory management, and distribution of office supplies, ensuring the supply closet is adequately stocked.
  • Support prospective new hires in completing applications and forwarding necessary documentation to payroll.
  • Coordinate drug testing documentation for new employees and arrange for pre-employment screenings.
  • Plan and organize events, including lunch gatherings and travel arrangements.
  • Monitor kitchen supplies such as paper towels, plates, and condiments, notifying when items are low.
  • Oversee office services including cleaning, HVAC maintenance, water services, security, waste management, and coffee services.
  • Innovate new systems, forms, and ideas to enhance operational efficiencies.
  • Proactively support safety initiatives and practices.
Qualifications

Basic Requirements

  • Ability to remain standing or seated for extended periods.

Minimum Requirements

  • Capacity to learn new software and navigate various operating systems.
  • Proficiency in Microsoft Windows and the Microsoft Office Suite (Excel, Word, Outlook).
  • Strong verbal and written communication skills are essential.
  • Ability to work collaboratively within a team environment.
  • Excellent customer service skills are required.
  • Capability to multitask, think critically, and solve problems effectively.
  • Willingness to learn new skills through hands-on training and application.
  • Independence in decision-making and completion of assignments is necessary.
  • Strong organizational skills and computer proficiency, with a high level of competency in English communication.
