Onsite Event Operations Manager

The Live Event Marketing Coordinator will work in close partnership with the Account and Experiential teams, frequently serving as the primary onsite representative for the agency. This position requires a commitment to exceptional service in all interactions. The individual will be primarily responsible for executing and managing the operational elements of client accounts, ensuring that client needs are met through direct engagement, coordination, and effective use of agency resources.
At JACKSON MARKETING GROUP, we seek a proactive and resourceful Live Event Marketing Coordinator who excels in problem-solving, adeptly manages live events, fosters client relationships, and strategically utilizes agency assets.
General Purpose: Management of live events, client engagement, proactive issue resolution, and oversight of agency resources.Key Responsibilities:
Client Engagement
- Continuously enhance your understanding of the client's industry, organizational structure, products, services, markets, and distribution channels.
- Design, implement, and oversee tailored programs for assigned clients.
- Contribute innovative concepts that elevate the value offered to all clients.
- Conduct thorough research, compile, and analyze information for planning and proposals.
- Manage daily communications with the logistics team to evaluate workloads and identify potential challenges.
- Participate in meetings to share relevant information and content for programs.
- Lead status meetings with Account and Experiential teams as necessary, ensuring follow-ups on individual programs.
- Oversee the execution of clients' marketing strategies within designated programs.
- Identify and propose new business opportunities with current and prospective clients.
- Keep senior management informed about client-related developments and involve them as needed.
- Act as the primary contact for clients, JACKSON, and vendors during events.
- Coordinate and ensure the successful setup and breakdown of events, collaborating with team members to provide guidance and ensure all tasks are completed efficiently.
- Document billable hours on a daily basis.
- Ensure timely completion of client contact reports.
Required:
- Bachelor's degree in marketing, sports marketing, events, journalism, or a related field, or equivalent experience.
- Detail-oriented with strong analytical skills.
- Exceptional presentation abilities.
- Excellent interpersonal skills, capable of effective communication with colleagues, clients, and event participants.
- Adept at multitasking and logistical thinking.
- Proactive with strong communication skills.
- Outstanding time management, organizational, and critical thinking abilities.
- Able to work in physically demanding, non-climate-controlled environments.
- Valid driver's license.
- Ability to adapt to changing environments and work effectively under pressure.
- Proficient in reading, writing, and understanding instructions and correspondence.
- Strong computer skills, including MS Outlook, Word, PowerPoint, and Excel.
- Resourceful, proactive, and a strong team player.
- Capable of effectively presenting information to clients and other organizational associates.
- Manage approved budgets for events, programs, and projects.
- Skilled in problem-solving and critical thinking.
- Committed to company values.
- Prior experience in motorsports.
- Previous event or marketing experience.
- Ability to operate powered industrial trucks (forklifts), box trucks, and other company vehicles, including towing a trailer.
- Able to pass a non-CDL DOT medical card physical.
- Frequent travel is expected, exceeding 70%.
- Supervise event support staff, contractors, and seasonal workers as designated by season, program, and/or event.
This position does not require a Class A commercial driver's license; however, the individual must operate company vehicles requiring a DOT medical card and pass a DOT physical and qualification annually. Subject to DOT regulations where applicable.
During the performance of duties, the individual may encounter various physical demands, including navigating roads, parking lots, event spaces, and warehouse environments around heavy equipment, operating heavy equipment/vehicles, walking long distances, standing for extended periods, climbing stairs/hills, and using standard office equipment. The individual may occasionally lift up to 50 pounds and frequently lift 20-30 pounds.
Work Environment:
While working in an office setting, the noise level is typically moderate; however, during onsite or at-track activities, the noise level is generally loud, and the individual is regularly exposed to outdoor weather conditions.
