We are seeking an Executive Secretary to provide essential support to the Debt Management Division.

Position Highlights:
- Full Time, 40 hours per week
- 1st Shift, Monday - Friday

- Organize and coordinate meetings between Division management and numerous external vendors.
- Schedule annual meetings with various State agencies and their key officials.
- Manage the calendar of the Assistant Treasurer.
- Maintain and update a list of current and prospective vendors.
- Respond to inquiries from investors and other stakeholders.
- Assist with invoice processing in collaboration with the Business Office.
- Prepare, edit, and format a variety of documents including memos, reports, and letters.

About Debt Management:

The Debt Management Division serves as the public finance department for the State, tasked with the prudent and cost-effective issuance and management of the State's debt.

The Division is responsible for issuing bonds to fund state capital projects, managing debt service payments and cash flow borrowing, maintaining relationships with rating agencies, and overseeing the Clean Water and Drinking Water loan programs.

Purpose of Job Class: This role serves as a personal secretary and provides office management support to the administrative head and/or their deputies as authorized.

Examples of Duties: - Acts as a confidential secretary to an executive.
- Relieves superiors of administrative tasks through public interaction and routine contacts with other state executives.
- Compiles and coordinates data for executive action.
- Takes and transcribes confidential correspondence and meeting notes.
- Types a variety of documents following proper formats.
- Schedules appointments and arranges meetings.
- Maintains and checks records and files.
- Performs special assignments and routine administrative functions as directed.
- Screens incoming correspondence and ensures timely responses.
- May supervise clerical staff and assign tasks as needed.
- Performs related duties as required.

Knowledge, Skills, and Abilities: - Considerable knowledge of office administration and management.
- Strong understanding of relevant organizational functions, procedures, and regulations.
- Proficient in English grammar, spelling, and punctuation.
- Excellent interpersonal skills.
- Ability to work independently and make decisions within departmental policies.

Preferred Qualifications: - A minimum of seven (7) years of experience as an Executive Secretary handling confidential information.
- Proven ability to multitask in a busy office environment and manage complex calendars.
- Proficiency in Microsoft Word and Excel, particularly in document merging.
- Experience in maintaining organized electronic and hardcopy files.
- Attention to detail, especially in grammar and document formatting.
- Ability to manage multiple priorities under tight deadlines.
