Job Summary

The Office Coordinator role at Schafer Sports Center is a dynamic position responsible for managing all back-office operations. This includes office management, database administration, scheduling, billing, inventory control, and lesson metrics. The successful candidate will also be required to perform administrative duties as needed.

Key Responsibilities
  • Monitor and compile daily reports, including phone logs and close reports, into a comprehensive executive summary for senior management.
  • Review outstanding client calls and respond to all inquiries within 24 hours.
  • Manage scheduling changes and make-up lesson requests from clients.
  • Ensure that all changes made by staff are accurate and appropriate.
  • Act as the primary point of contact for client billing.
  • Verify client billing information is up-to-date and ensure monthly charges are processed correctly.
  • Alert management when additional supplies are required.
  • Enforce Schafer Sports Center office procedures and continuously improve best practices.
  • Train new staff on client response scripts and computer program features.
Requirements
  • High school diploma with prior office management and/or sales experience preferred.
  • Superior communication and interpersonal skills when interacting with clients.
  • Professional demeanor and appearance.
  • Ability to stay current with Sports Center policies and procedures.
  • Proven multitasking experience is essential.
  • Capacity to consistently deliver exceptional customer service.
