Job Summary

Aquarion Water Company is seeking an experienced Administrator to provide administrative and business support for the Engineering & Planning Department. The successful candidate will work closely with the Director of Engineering and Planning to ensure the smooth operation of the department.

Key Responsibilities
  • Assist the Vice President of Engineering and Real Estate with general administrative tasks, including coordination, scheduling, and time sheet management.
  • Review and update business continuity plans, staffing emergency response plans, and departmental organizational charts on a semi-annual basis.
  • Work with staff, IT, and Corporate Communications to ensure accurate and up-to-date information on water main replacement projects, capital delivery projects, permitting status, training, and other office-related activities.
  • Manage Master Services Agreements (MSAs) and Task Order Agreements with staff and the Procurement Department, ensuring timely execution and compliance with company policies.
  • Prepare purchase requisitions, process goods receipts, accruals, and invoices as requested by staff.
  • Assist with WICA filings, rate case application preparation, water main relocation billing and closing, developer extension contracts and reconciliations, new service customer coordination, and other tasks as needed.
  • Track approved invoices monthly versus purchase orders, budgets, and PMC approvals using BobJ and SAP.
  • Coordinate the implementation of JSAs and JSOs with the Safety Manager and Department Staff, reporting results to the monthly Department meeting.
  • Participate in department and staff meetings, maintaining meeting minutes and action registers as requested.
  • Coordinate and schedule meetings and training for the Department, including securing meeting locations, sending invitations, and arranging for food and other necessary arrangements.
  • Work with staff on on-boarding and departure processes, following the defined procedures by HR and the Department.
Requirements
  • Minimum 3 years of experience in an administrative position.
  • Excellent customer service skills.
  • Good written and oral communication skills.
  • Detail-oriented with excellent organizational skills.
  • High competency in the use of Excel, Word, Outlook, PowerPoint, SAP, and BobJ.
  • Ability to complete tasks with minimal supervision.
  • Self-motivated and able to make decisions independently.
  • Ability to analyze problems and take appropriate corrective action.
  • Ability to manage multiple tasks simultaneously.
  • Ability to set priorities.
Education/Certifications

A bachelor's degree in a related field is required.

Salary

The job is classified as a non-exempt position with a weekly starting salary range of $941.00.

Work Environment

This role is 100% on-site, working out of the Bridgeport office (600 Lindley Street, Bridgeport, CT).

Hours for this role are 8:00 AM to 4:30 PM, Monday through Friday.
