Cardiac Care Office Coordinator

The Office Coordinator plays a vital role in ensuring the smooth operation of the Cardiac Center's front office. This dynamic individual will be responsible for coordinating administrative support functions, providing exceptional customer service, and maintaining accurate records.
Key Responsibilities- Utilize the Centricity system to register patient demographics and perform initial insurance verification prior to scheduling.
- Organize patient scheduling activities, including maintenance of Physician schedules in the Centricity system.
- Greet patients and perform check-in/check-out in a positive, professional manner.
- Coordinate Physicians/Provider schedules with Cardiology Center, Cardiology rehab, and Cardiology office.
- Verify insurance coverage benefits and advise patients of therapy, tests, and procedures covered by the payer source.
- Use Centricity, MARS, and MUSE systems to input information, print data reports, and analyze data returned to ensure accuracy.
- Provide administrative support to the Program Manager and clinical staff, including schedule support, requisitions, and supply ordering.
- Serve as a liaison between the Cardiac Center, Rehab, and physician offices, ensuring effective coordination and communication of patient activities and referrals.
- Independently operate the front office, screening and receiving telephone calls, and responding to inquiries or referring to appropriate personnel.
- Maintain competency in operation of multiple electronic systems, including Centricity, MUSE, MARS, and basic operating systems.
- Prioritize workload and complete tasks within established time frames to accommodate patient needs.
- Demonstrate and model principles of service excellence in support of the patient experience.
- Assume responsibility for own professional growth and development, including attending educational programs and maintaining knowledge relevant to responsibilities.
- Previous office coordination and/or healthcare experience.
- Excellent customer relations skills.
- Able to work independently and function in a dynamic environment.
- Medical terminology and well-developed PC and word processing skills, including Microsoft Office.
- Ability to work under pressure and prioritize workload to meet deadlines.
