This role is ideal for someone with experience in catering or hospitality, ready to take on the responsibilities of a Catering Services & Operations Coordinator. Our team comprises dedicated professionals who appreciate creativity, initiative, and meticulous attention to detail.

The workweek typically runs from Monday to Friday, but flexibility is essential during peak wedding and event seasons, which may require evening and weekend availability. Advance notice will be provided for any evening shifts.

Key Responsibilities

  • Collaborate closely with the owner and the events team to ensure smooth operations.
  • Assist in managing and organizing the workload to optimize efficiency.
  • Develop and maintain strong relationships with corporate, film, and non-profit clients.
  • Act as the primary contact for corporate and film clients.
  • Ensure that all catering expectations of clients are met.
  • Innovate ways for Big Delicious Planet to enhance the overall client experience.
  • Discuss menu options with clients, prepare menus, and draft proposals, invoices, and contracts.
  • Serve as the liaison and coordinator among the office, kitchen, and delivery teams for catering assignments.
  • Schedule delivery drivers, monitor deliveries, and manage driver check-outs.
  • Address client concerns and ensure timely payments.
  • Follow up with clients regarding events and report back to the team.
  • Assist with various office tasks, including applying for licenses and ordering supplies.
  • Participate in events as needed, with prior notice.
  • Answer phone calls, welcome visitors, and conduct office tours.
  • Manage appointments and maintain the calendar.
  • Support the owner in task management.
  • Maintain an organized filing system.
  • Contribute to keeping the office tidy and organized.
  • Engage in team efforts to achieve company goals.

Qualifications

  • Must be fully vaccinated.
  • Relevant experience in the industry.
  • Strong leadership skills to manage personnel and events effectively.
  • Understanding of proper etiquette, a friendly demeanor, and a sense of style.
  • Knowledgeable in catering, hospitality, various cuisines, and safety procedures.
  • Highly organized, detail-oriented, and able to follow through on tasks.
  • Excellent time management skills.
  • Strong verbal and written communication skills.
  • Proficient with Apple products and adaptable to new software.
  • Cheerful personality and ability to work well in a team environment.
  • Professional appearance and ability to make a positive first impression.
  • Capable of handling high-pressure situations calmly.
  • Willingness to adapt to ongoing changes.

Additional Requirements:

  • Flexible schedule.
  • Valid driver's license.
  • Physical capability to lift up to 50 pounds and endure long periods of standing or sitting.
