Role Summary: In the capacity of a Client Support Specialist, you will be instrumental in enhancing client satisfaction while providing essential support to our financial advisors. Your responsibilities will include managing client communications, preparing for meetings, executing financial transactions, and ensuring meticulous record-keeping. This position demands a proactive individual who excels in prioritizing tasks, articulating information clearly, and collaborating effectively within a team environment.

Core Responsibilities:

  • Act as the primary liaison for clients, ensuring superior service and timely resolution of inquiries.
  • Prepare and submit necessary investment, retirement, and insurance documentation, tracking progress and following up as required.
  • Compile client account reviews by gathering reports, statements, illustrations, and product details in advance of advisor meetings.
  • Facilitate financial transactions including deposits, withdrawals, transfers, trades, and distributions, ensuring accuracy and compliance with regulations.
  • Engage with clients to collect pertinent information for financial planning and manage follow-up actions from meetings.
  • Maintain and update client records and meeting notes in our CRM system, ensuring data integrity and confidentiality.
  • Collaborate with financial planners, investment teams, and other advisors to provide seamless service and support.
  • Provide regular updates to the practice owner, ensuring all tasks are executed efficiently and punctually.

  • You have a keen eye for detail, able to identify discrepancies and ensure all aspects are addressed.
  • You are adaptable and thrive in a fast-paced, changing environment.
  • You are proficient in Microsoft Office Suite and can quickly learn new software systems.
  • You are self-motivated and comfortable working independently while seeking guidance when necessary.

Required Qualifications:

  • 3 to 5 years of experience in the financial services sector, with a solid foundation in client service and support.
  • Valid licenses or certifications from relevant regulatory authorities.
  • Experience in supporting financial advisors or entrepreneurs, with a proven ability to prepare for client meetings and manage business processes.
  • Strong familiarity with CRM/database systems, particularly Redtail, is advantageous.
  • Exceptional verbal and written communication skills, with a professional and engaging demeanor.
  • Ability to excel in a fast-paced, deadline-oriented environment while maintaining attention to detail.
