POSITION SUMMARY:

The Technical Publication Specialist plays a crucial role in the creation and modification of intricate technical documents for various branches of the military, including the Army, Navy, Marines, and Air Force. This position requires effective communication with clients or government representatives throughout the project duration. The Specialist is responsible for planning and organizing projects with minimal supervision while collaborating closely with team members.

KEY RESPONSIBILITIES:

  • Provide support for front desk operations, directing calls and visitors appropriately.
  • Prepare diverse types of publication documents adhering to client, government, or organizational standards.
  • Generate final documents for both client and internal evaluations, ensuring accuracy before submission.
  • Maintain effective file management practices, including saving, naming, backing up, and archiving documents as per established protocols.
  • Create complex electronic documents and templates using publishing software in line with specifications.
  • Assist in project planning and coordination, focusing on customer requirements and identifying cost-saving opportunities.
  • Estimate individual effort needed to meet production goals and maintain expected productivity rates for each project.
  • Engage in assigned tasks, ensuring timely and cost-effective completion.
  • Support the training of new team members as needed.
  • Collaborate with internal and external personnel to meet project deadlines.
  • Participate in project meetings and provide regular status updates to management.
  • Deliver documentation or services according to a predetermined schedule.
  • Communicate project progress with internal staff and clients as necessary.
  • Manage and report on issues, technological advancements, and hardware/software requirements.
  • Understand and convey details regarding files/documents and graphic file types.
  • Track and report individual performance metrics.
  • Collaborate with team members on shared projects.
  • Ensure the production of high-quality work within profitability targets.
  • Perform additional job-related tasks as requested, with reasonable accommodation.

WORKING ENVIRONMENT:

This role is situated in a general office setting, requiring the use of standard office equipment such as personal computers, telephones, and photocopiers. The position may necessitate prolonged periods of sitting or standing.

Occasional overtime or additional hours may be required to meet deadlines, including potential weekend or holiday work.

Travel by motor vehicle or airplane may be necessary to fulfill job responsibilities, estimated at less than 10 percent of the time.

MINIMUM QUALIFICATIONS:

Education:

  • High school diploma or General Education Equivalency (GED) is required.
  • Preferred: Certificate from a vocational or technical school.
  • Preferred: Associate degree in Desktop Publishing, Computer Science, English, or Art/Design.

Experience:

  • Required: 2-3 years of experience or specialized training in desktop publishing, XML/SGML coding, proofreading, or art/design.

Technical Skills:

  • Required: Basic proficiency in Microsoft Word and Excel.
  • Required: Basic proficiency in Adobe Acrobat (PDF).
  • Preferred: Intermediate proficiency in publishing software.
  • Required: Previous experience with XML or SGML coding to create and apply tagging principles.

Certification:

  • Preferred: Valid driver's license in the state of residency with an acceptable driving record.
