Introduction:

We are seeking a skilled and motivated Medical Front Office Coordinator to join our dynamic OB/GYN team at Trinity Employment Specialists. This role is crucial in ensuring smooth and efficient operations at the front desk, providing an excellent experience for our patients.

Key Responsibilities:

  1. Patient Interaction:
    • Greet patients warmly upon arrival and provide exceptional customer service.
    • Verify and update patient information, including insurance details, medical history, and contact information.
    • Schedule, reschedule, and confirm patient appointments in a timely manner.
    • Answer phone calls and respond to inquiries regarding appointments, medical records, and general information.
  2. Administrative Tasks:
    • Manage patient check-in and check-out processes efficiently.
    • Collect and process co-payments, outstanding balances, and insurance information.
    • Prepare and maintain patient charts and documentation with accuracy and confidentiality.
    • Ensure all necessary paperwork is completed and filed appropriately.
  3. Insurance and Billing:
    • Verify insurance eligibility and benefits before patient appointments.
    • Assist patients with understanding their insurance coverage and financial responsibilities.
    • Collaborate with billing department to resolve any insurance or billing issues.
  4. Office Operations:
    • Maintain a clean and organized front office environment.
    • Coordinate with medical staff to ensure smooth patient flow and timely service.
    • Assist in the ordering and stocking of office supplies as needed.
  5. Compliance and Confidentiality:
    • Adhere to all HIPAA regulations and clinic policies regarding patient privacy and confidentiality.
    • Stay updated on industry standards and practices related to front office operations.

Qualifications:

  • High school diploma or equivalent; additional education or certification in medical office administration is a plus.
  • Proven experience in a medical front office or administrative role, preferably in an OB/GYN setting.
  • Strong interpersonal and communication skills with a compassionate and patient-centered approach.
  • Proficiency in using electronic medical records (EMR) systems and office software.
  • Basic knowledge of medical terminology and insurance processes.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
