The Lead Project Coordinator collaborates closely with the client services team to guarantee that project deliverables are completed punctually and within the allocated budget. This role involves direct communication with clients for project reviews and other necessary interactions. A proactive problem-solver, the Lead Project Coordinator must be skilled at foreseeing challenges and identifying opportunities, while also mentoring junior team members in these areas.

This position demands exceptional project management expertise. The individual must be a dedicated team player, exhibit strong organizational skills, possess excellent verbal and written communication abilities, and demonstrate a creative approach to problem-solving with a proactive mindset.

Key Responsibilities

  • Collaborate with account executives from the beginning of projects to assist in crafting project plans, including cost estimates and timelines.
  • Participate in client kickoff meetings and other significant client discussions to establish a solid foundation for the project before the internal kickoff.
  • Input budget estimates into the project management system and closely monitor financials, analyzing quote versus actual performance and coordinating with account executives on subsequent actions and solutions.
  • Work alongside the resource manager to identify suitable resources and scheduling.
  • Develop and oversee comprehensive project schedules throughout the project lifecycle.
  • Initiate and attend both internal and client-facing project planning and status meetings.
  • Actively engage with the project management system: set up project timelines and ensure task completion to maintain project momentum.
  • Provide continuous project updates, including kickoff meetings, regular internal check-ins, and client communications as required.
  • Track and report on project progress while managing any obstacles that arise.
  • Identify opportunities to enhance efficiency and streamline processes for both the agency and clients.
  • Encourage team members involved in the project to meet deadlines and stay within budget.

Qualifications

  • 5+ years of experience in similar roles, ideally within an agency environment.
  • Experience in marketing, e-commerce, and retail is preferred.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
