Position Overview:
The State of Colorado is seeking a Manager of Administrative Operations within the President's Office. This pivotal role reports directly to the Chief of Staff and is responsible for steering the management of business operations, administrative tasks, and communications within the office.
Key Responsibilities:
Financial Oversight
In this capacity, you will supervise the financial management and strategic planning for all funds associated with the President's Office. Collaborating closely with the Chief of Staff, you will ensure financial strategies align with institutional goals. Your duties will include:
- Overseeing budget submissions, invoice processing, and expense tracking.
- Applying advanced fiscal knowledge to manage diverse funding sources, ensuring compliance with financial guidelines.
- Developing comprehensive annual budget proposals and providing analytical insights to the Chief of Staff.
You will be responsible for the coordination of office operations and administrative functions. This includes serving as a primary point of contact for internal and external stakeholders. Specific tasks involve:
- Making decisions regarding purchasing and human resources in accordance with university policies.
- Maintaining a consistent presence in the office and ensuring effective communication with team members.
- Addressing complex issues that arise through various communication channels.
With a solid understanding of higher education dynamics, you will prepare and oversee communications for the office. Responsibilities include:
- Maintaining and updating the office's webpage to ensure relevance and accuracy.
- Monitoring email communications and ensuring timely responses.
- Collaborating with marketing teams to create engaging social media content.
This role involves leading and assisting with various events and initiatives organized by the President's Office. Responsibilities may include:
- Planning logistics for events, including invitations, catering, and venue arrangements.
- Providing support for significant ceremonies and university events.
- Coordinating with the Event Manager for events hosted at the official residence.
Minimum Requirements:
- A BA/BS degree or equivalent progressive administrative experience.
- 3+ years of experience in supporting leadership initiatives and managing budgets.
- Proficiency in creating and reviewing documents and presentations.
- Strong organizational and communication skills.
- Experience in higher education administration.
- Administrative support experience at the executive level.
