Key Responsibilities

  • Reception and Office Support: Act as the primary point of contact, managing phone calls, providing information, assisting clients and staff, coordinating conference calls, meetings, and travel arrangements, while ensuring a professional office environment.
  • Document Coordination: Oversee mail distribution, shipping, receiving, photocopying, scanning, faxing, and the electronic organization of documents.
  • Resource Oversight: Manage orders for office supplies, business cards, and employee identification, while identifying opportunities for cost savings.
  • Visitor and Errand Coordination: Welcome visitors and handle office-related errands as needed.
  • Financial Administration: Process invoices, record expenses in Deltek, prepare checks for deposits, and assist with monthly billing for project and branch managers.
  • Administrative Management: Create and manage electronic SharePoint project and proposal folders, oversee corporate housing, company mailboxes, annual equipment calibrations, and mobile devices. Track and reconcile statements, manage office keys, and oversee office furniture and equipment.

Qualifications:

  • High School Diploma or equivalent.
  • At least one year of experience in a receptionist role or similar.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Experience with Deltek is advantageous.
  • Familiarity with SharePoint is a plus.
  • Knowledge of Smartsheet is beneficial.
  • Understanding of VoIP phone systems, customer service, and standard office equipment.
  • Strong computer skills and internet navigation abilities.
  • Exceptional telephone etiquette and customer service capabilities.
  • Excellent communication, organizational, and multitasking skills.
  • Ability to work independently with minimal supervision while maintaining positive professional relationships.
  • Attention to detail and the ability to identify cost-saving opportunities.

Compensation:

$60,000 to $70,000 based on skills and experience.
