POSITION SUMMARY:

  • The Caregiver Coordination and Client Relations Supervisor plays a pivotal role in strategically aligning caregivers with clients, taking into account various essential factors, while also providing guidance and support to caregivers in their professional journeys.

KEY RESPONSIBILITIES:
Oversee the scheduling of caregiver teams for service hours with new clients and manage open hours/shifts for ongoing cases.

  • Ensure consistent caregiver-client scheduling.
Maintain accurate scheduling records and ensure prompt data entry for both clients and caregivers.
Communicate with clients and caregivers regarding daily scheduling adjustments.
Input and maintain comprehensive client and caregiver data in the system.

Regularly review telephony logs to make necessary corrections, ensuring precise payroll and billing processes.

Provide updates to the direct supervisor regarding any unstaffed shifts after thorough attempts to fill them.

Deliver timely reports to the direct supervisor on caregiver availability and demand.

  • Uphold and communicate FC Angels' policies and procedures.
Refer relevant issues to the Operations Manager for guidance.
Perform general administrative tasks, including but not limited to document preparation, filing, reception, and telephone support.
Engage in the evaluation process for caregivers, including 90-day and annual reviews, as well as performance improvement initiatives.

Foster positive relationships with clients, their families, prospective clients, caregivers, potential employees, team members, and referral sources.

Ensure confidentiality of all sensitive information related to employees, clients, and their families.
Exhibit reliability and professionalism while providing support and motivation to the caregiver team.
Be available for on-call duties during evenings and weekends as required. Keep on-call materials updated with client details, instructions, and current caregiver rosters.
Execute additional responsibilities as assigned by the management team.

REQUIREMENTS:
Associate's degree and a minimum of two years of experience in an office environment, ideally within the private duty home care sector.

Proficient in Google and Microsoft Office applications (Word, Excel, Outlook), as well as scheduling systems and other relevant healthcare software.


  • Strong listening and communication skills, both verbal and written, with a diplomatic approach.
Ability to remain adaptable, composed, and maintain a sense of humor while presenting a polished professional appearance.

Capable of planning, organizing, prioritizing, delegating, and effectively following through on tasks within time constraints and interruptions, while also working independently with minimal supervision.

Ability to cultivate positive relationships with staff, clients, their families, and referral sources, demonstrating a commitment to exceptional client service.
