Position Overview

The Patient Service Specialist I plays a vital role within the administration team, executing essential daily tasks to facilitate seamless operations in the medical practice.

Key Responsibilities
  • Manage incoming calls, directing them appropriately, and ensuring messages are relayed to the relevant physician or staff member.
  • Provide callers with routine information and authorized medical advice as directed by a healthcare provider.
  • Deliver exceptional customer service to both new and existing patients.
  • Create patient cases and accurately document communications in the electronic medical record (EMR) system.
  • Schedule patient appointments and necessary tests as requested.
  • Register patients in the EMR, verifying demographic information and obtaining accurate health insurance details.
  • Conduct eligibility checks to confirm insurance coverage.
  • Collect required co-pays and any outstanding balances from patients.
  • Follow scheduling guidelines and assist in coordinating patient visits across various practices.
  • Engage in pre-visit planning for upcoming appointments, including insurance eligibility verification.
  • Obtain prior authorizations and referrals as needed.
  • Conduct outreach to designated patient groups for care and quality measurement.
  • Schedule specialty appointments and testing as necessary.
  • Manage administrative supply needs and assist with ordering as required.
  • Follow up with providers on missing documentation and assist in creating claims.
  • Work independently while adhering to organizational policies and maintaining patient confidentiality.
  • Perform additional duties as assigned.
Qualifications

Skills:

  • Exceptional customer service skills.
  • Strong communication and interpersonal abilities.
  • Experience with EMR systems is highly preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Education & Experience:

  • High School Diploma or equivalent is required.
  • One to three years of experience in a medical administrative role is preferred.
