Position Overview

The Patient Service Specialist I plays a vital role within the administrative team, executing essential daily tasks to ensure efficient operations in the healthcare practice.

Key Responsibilities
  • Manage incoming calls, directing them appropriately and ensuring messages are conveyed to the relevant physician or staff member.
  • Provide callers with routine information and only share authorized medical advice as directed by a healthcare provider.
  • Deliver exceptional customer service to both new and existing patients.
  • Create patient cases and accurately document all communications in the electronic medical record (EMR) system.
  • Schedule patient appointments and necessary tests as requested.
  • Register patients in the EMR, verifying demographic information and obtaining accurate health insurance details.
  • Conduct eligibility checks to confirm insurance accuracy.
  • Collect required co-pays and any outstanding balances from patients.
  • Follow scheduling guidelines and coordinate patient visits across various practices as needed.
  • Engage in pre-visit planning for upcoming appointments, including insurance eligibility verification.
  • Obtain prior authorizations and insurance referrals as required.
  • Perform outreach to designated patient groups for care and quality measurement.
  • Schedule specialty appointments and testing as necessary.
  • Manage administrative supply needs and assist with ordering supplies.
  • Follow up with providers regarding missing documentation and assist in creating claims within the EMR.
  • Work on assigned revenue cycle tasks as directed.
  • Maintain confidentiality and adhere to company policies.
  • Perform additional duties as assigned.
Required Skills
  • Strong commitment to customer service excellence.
  • Exceptional communication and interpersonal skills.
  • Experience with EMR systems is highly preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
Education & Experience

A high school diploma or equivalent is required. One to three years of experience in a medical secretary role is preferred.
